Part-Time Receptionist (30 hours/week) Jobs in Boston, MA at The Home for Little Wanderers, Inc.
This position will be responsible for all basic office management, input new transactions and broker support assistance. This individual will be the “owner” of the office to ensure all things are in top shape, clean & organized and maintained at a very high level. As a transaction coordinator you will be responsible for ensuring transactions, West of the Cascades, are processed efficiently and accurately in compliance with company standards. Along with that, to ensure all systems are up to date, matching and syncing properly.
Essential Duties and Responsibilities:
Office Management:
General Open/Closing Duties: Daily Management of general office open and closing duties.
Greet Visitors: Greet all visitors with a warm welcome in person and/or on telephone. Ensure everyone that walks into the office is offered a bottle of water and/or cup of coffee. Promptly notify whomever the client is there to see that they are at the front desk.
Phones: Answer incoming calls with “Thank you for calling Cascade Hasson Sotheby’s International Realty, how may I help you”? Take messages and deliver to brokers as needed.
Mail distribution: Process and distribute all incoming mail. Liase with fed-Ex, UPS, USPS, etc. for all incoming and outgoing packages. Ensure any commission checks delivered are taken to the transaction manager immediately.
Weekly Office Meetings: Responsible for setup of Tuesday morning office meetings in the absence of the Resource Coordinator. Set up chairs, ensure office is clean and TV screen is ready for any presentation that may be given at the meeting.
Broker Support: Assist brokers with their daily business if needed. Help facilitate their requests to ensure they utilize the correct staff member responsible for the task being asked for assistance on. Follow-up immediately with broker to ensure they have been serviced and taken care of.
Listing and Transaction Coordination:
Transaction Input: Enter, upload, organize and manage transactions submitted for West of the Cascade offices into the appropriate systems and programs to properly manage and track the transaction throughout its entirety. (Broker Wolf, Skyslope, MLS).
Transaction Audit: Responsible for weekly transactions audit in skyslope.
Change Orders: Process change orders submitted by brokers for their transactions and listings in a timely manner in the required systems.
Trailing Documents: Ensure trailing documents submitted by the broker are uploaded to the Skyslope file and accurately assigned to the checklist.
MLS: Learn and understand listing input for MLS. Notify broker of incomplete MLS Features Forms when missing information submitted for uploading.
Jotform: Management of jotform transactions including submittal, correction forms and/or updates.
Listing Input: Familiarize yourself with the listing input process. Ensure all listings are correctly imputed for correct feeds into the SIR feeder sites as well as SIR.com. Occasionally cover the listing inbox when another team member is out.
Job Type: Full-time
Pay: $24.00 – $25.00 per hour
