Position Summary:
Crinetics is seeking a Senior Administrative Assistant to support the CMC Department. The ideal candidate will be responsible for providing high-quality administrative support on a variety of programs, events, and deliverables. To be successful in this role, you should be well-organized, have excellent time management skills, and be a strong team player.
Essential Job Functions and Responsibilities:
These may include but are not limited to:
Maintain calendars, schedule meetings, and coordinate logistics for meetings, including audio/visual needs, agendas, presentations, and food and beverage catering. Take and distribute meeting minutes and action items.
Manage all aspects of travel to include both Domestic and International.
Take general supervisor’s instructions on new, difficult, or unusual assignments.
Collect and coordinate information from multiple sources to create, edit and assemble materials (using templates, layouts, and formatting) to be used for effective executive level presentations.
Employ discretion, tact, and diplomacy regularly due to exposure to confidential/sensitive information and extensive interaction with senior management.
Communicate and help institutionalize standards throughout the company.
Make administrative decisions, make appointments, help schedule interviews, and serve as a liaison internally to the team and externally to visitors, as required.
Work independently or in a team, to plan, organize and complete a variety of non-recurring and ongoing projects assigned by the team, including but not limited to special reports, spreadsheets, presentations, and strategic plans.
Implement as-needed improvements to processes and procedures.
Partner with other members of the department to maintain the departmental activities, including budgets, contracts, expenses, annual goals, project deliverables, employee activities, etc.
Participate in education and training on compliance, skills, processes, and systems.
Coordinate, create, and edit documents, correspondence and agreements using company approved templates.
Compile expense receipts by completing and submitting expense reports for reimbursement to accounting department and reconciling credit card statements.
Create & maintain documents, spreadsheets, databases, meeting agendas, special events, etc. & alerts supervisor of critical issues & upcoming events.
Coordinate content maintenance of department’s internal website, files, and information.
Work on problem solving exercises judgment within defined procedures and practices to determine appropriate course of action.
Other duties as assigned.
Education and Experience:
Required:
Candidate must reside in the San Diego area as this is an onsite role.
Associate’s degree preferred plus a minimum of 6 years of experience (an equivalent combination of experience and education may be considered).
Ability to exercise discretion and judgment regarding highly confidential internal and external communications and materials.
Strong proficiency with and in-depth knowledge of Adobe and MS Office, including Outlook, Excel, Word, and PowerPoint.
Experience in working with senior level executives within and outside the company, as well as experience with vendors and other visitors.
Proven successful experience booking complex domestic and international travel.
Strong written, verbal, and interpersonal communication skills.
Experience with calendar management, project meeting and event planning and execution, preparation of executive level presentations, travel, and expense report administration.
Adaptability to changing needs and situations.
Ability to anticipate, identify, and resolve problems in a timely manner.
Ability to work efficiently with a client-service focus in a fast-paced, dynamic environment.
Ability to analyze risks within contracts and know when appropriate to escalate to management or to external resources, as necessary, for further evaluation or approval.
Demonstrate professional demeanor and collaboration across administrative team.
Preferred:
Prior experience in biotech/life science, pharmaceutical, or med-tech with marketed products is preferred.
Physical Demands and Work Environment:
Physical Activities: On a continuous basis, sit at desk for a long period of time; intermittently answer telephone and write or use a keyboard to communicate through written means. Some walking and lifting up to 25 lbs. may be required. The noise level in the work environment is typically low to moderate. Laboratory Activities (if applicable): Biology and chemical laboratory environment experience needed. Environmental health and safety requirements also apply.
Travel:
You may be required to travel for up to 5% of your time.
The Anticipated Base Salary Range: $38.07-$47.59

The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience and education.
