Job Summary
Work location: Hybrid (3 days in the office and 2 days telecommuting)
The WCRA is an established nonprofit reinsurance company with a staff of thirty. We are seeking an Administrative Assistant II to join our team. The Administrative Assistant II will provide proactive administrative support for the Claims and IT departments and serve as a partner and liaison to all departments.
Duties/Responsibilities:
Provide proactive administrative support to the claims and IT departments, including processing claims audit documents, working with staff to prepare training materials and presentations, and reviewing and recommending updates to claims and IT website content.
Issue reimbursement payments daily, provide quality control review throughout the process and interface with claims and finance staff to ensure accuracy and timeliness.
Provide administrative support for assigned committees by preparing meeting book materials, graphic presentations, agenda items and meeting minutes.
Make all arrangements for committee meetings including logistics, materials, supplies, catering and room set-up.
Lead the coordination, planning and logistics for annual rehab seminar and periodic webinars.
Maintain and track membership information related to claims.
Create new and update existing designated and general claims contacts for both members and third-party administrators.
Process accounts payable payments daily.
Serve as the primary front desk support by greeting guests and vendors, processing mail and keeping conference room stocked.
Assist other administrative assistants with meetings, events, and other tasks as assigned.
What You Will Bring:
High School diploma or equivalent with 10 years of administrative assistant experience
Experience completing reports and reviewing data.
Experience coordinating and facilitating meetings.
Excellent written and verbal communication skills.
Attention to detail and problem-solving skills.
Strong organizational and time management skills with the ability to manage multiple tasks and prioritize workloads effectively.
Takes ownership of assigned work and follows through to successful completion.
Ability to work independently or part of an administrative team.
Comfortable learning new technology with formal training or through self-learning.
Proficient with Microsoft Office Suite or related software.
