Job Summary
Plans and implements activities of a program within a department, ensuring goals and objectives are in accordance with established criteria. Interprets program policies and advises program participants on the application of regulations.
Provides support and assists with the overall administration of assigned department programs. Coordinates the support staff activities within a department. Assists with financial planning, goal setting, policy and procedures planning, and implementation. Oversees the usage and maintenance of departmental resources. Provides support to our national and international partners.
Responsibilities
Advise the department director on academic appointments, promotion and retention procedures, policies, and critical deadlines; coordinate associated activities across research, development, and administrative domains.
Oversee personnel administration, including budget management, staffing forecasts, assignment delegation, and workload distribution; address operational challenges and facilitate effective problem-solving.
Supervise day-to-day office operations, including monitoring and verifying data in institutional information systems, directing staff assignments, and ensuring the secure handling of confidential records and communications.
Coordinate meetings, schedules, and administrative support for key department personnel, including the preparation of correspondence, reports, meeting minutes, and official documents.
Act as a primary liaison between the department and other university offices, external agencies, and partners—both nationally and internationally—to support collaborative efforts and strategic initiatives.
Assist in annual budget development, including recommendations for staffing allocations and funding priorities.
Support faculty in the preparation and submission of research grant proposals, ensuring clarity, compliance, and timely assembly of required materials.
Provide guidance on University policies and procedures to departmental staff, ensuring adherence to institutional standards.
Manage financial transactions, including the preparation of invoices and deposits, and maintain accurate records in appropriate databases.
Deliver high-quality customer service to a diverse range of internal and external stakeholders, including national and international partners and prospective clients.

Minimum Qualifications
Bachelor’s degree (or equivalency) in a related field plus one year directly related experience or equivalency. Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.
EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience. (Example: bachelor’s degree = 4 years of directly related work experience.)
