Job Summary
We are seeking a highly organized, proactive, and trustworthy Personal Assistant to provide dedicated support to the Owner. This role requires someone who is confident, fluent in English, highly adaptable, and capable of managing both business and personal matters with professionalism and discretion.
The ideal candidate is tech-savvy, resourceful, and able to thrive in a fast-paced environment while maintaining excellent attention to detail.
Key Responsibilities
- Manage the Owner's daily schedule, including calendars, appointments, meetings, and travel arrangements.
- Handle the Owner's personal matters such as errands, purchases, and other personal commitments, ensuring seamless coordination and efficient time management.
- Coordinate business and personal schedules efficiently.
- Attend meetings, take minutes, and ensure timely follow-up on action items.
- Coordinate with internal departments, business partners, and external stakeholders.
- Conduct research and gather information to support business decisions.
- Handle confidential information with the highest level of professionalism and discretion.
- Assist with business trips and special projects.
- Utilize digital tools and AI-powered productivity platforms to improve workflow efficiency.
- Perform other administrative and personal tasks assigned by the Owner.
Qualifications
- Candidates must be legally authorized to work in Indonesia.
- Fluent in spoken and written English.
- Bachelor's degree is preferred.
- Minimum 2 years of experience as a Personal Assistant, Executive Assistant, or in a similar role.
- Confident communicator with excellent interpersonal and presentation skills.
- Calm, professional, and able to communicate effectively with executives and external stakeholders.
- Excellent organizational, time management, and multitasking abilities.
- High level of integrity, discretion, and professionalism.
- Able to work independently with minimal supervision.
- Flexible to work outside standard business hours when required.
Technical Skills
- Proficient in Microsoft Office (Word, Excel, and PowerPoint) and Google Workspace (Docs, Sheets, Drive, and Calendar).
- Strong competency in using a wide range of digital productivity and collaboration tools.
- A fast learner who quickly adapts to new technologies and software, enabling efficient workflow management and continuous improvement in dynamic work environments.
- Proficient in using AI tools (e.g., ChatGPT, Claude, Gemini, or similar) to improve productivity, conduct research, and automate administrative tasks.
