Our client is a very dynamic and highly professional globalplayer in the

Zug area. On his behalf we are looking for a dynamic and talented

professional. You are thrilled to serve the Board Members and keep

the office running.

Your Challenge

Assistance of the CEO and the Team

Manage calendars and meeting schedules

Coordinate business visits (outbound / inbound)

Draft meeting agendas & protocols and ensure follow-ups

Organise the office administration

Travel bookings around the world, Visas

Schedule travel itineraries

Liaise with Executive Assistants in other countries to arrange meetings

HR administration such as onboarding and other

Communicate with key suppliers, customers around the globe to schedule meetings & trips

Organisation of team events, Lunches and other

Process expenses and invoices according to policies

Organise catering bookings, including conference calls and video conferences

be responsible for couriering documents & mail distribution

Holiday absence monitoring using tracking spreasheet for management review

Filing and maintaining original legal documentation

Provide ad-hoc support

Maintain tracking sheet of all documents / get yourself structured with data

Booking of the meeting rooms

Responsible for stationary & catering

Take incoming calls

You will take care of personal & family issues of the Managers

You connect all the dots that the business will run smothly

Your Qualifications

35/50 years of age

commercial education or bachelor degree

several years of proven working experience as an Executive Assistant,

Office Manager or Personal Assistant for a Global Player

proven experience of organisational skills

high level of proficiency with MS Office applications (Word / Excel / PP)

Excellent English skills, German

Swiss, C-permit or B-permit holder

ability to professionally and sociably deal with intercultural teams

strong interpersonal skills

hands-on mentality

flexible, empathic, service orientated personality, teamplayer
