Our client, a major Irish business is seeking to hire an Executive Assistant to the CEO.

This role is a key position working closely with the CEO and Office of the CEO team

and will be an important link between them and the wider business.

You will provide dedicated, professional executive support in a fast-paced dynamic international environment, liaising with senior and executive stakeholders and external bodies at a senior level. You will also work closely with the wider leadership team and corporate functions.

The ideal candidate will have previously provided support to a CEO in a global organisation and should be hugely proactive in their approach.

Full flexibility over 5 working days is required.

Key Responsibilities:

Perform administrative tasks for the CEO in a timely manner and with excellent attention to detail, including calendar management and email management (where required including drafting responses and forwarding requests to the relevant parties)

Meeting preparation for the CEO – taking the initiative; collating the required data, information, and reports in advance

Organisation of travel itineraries/ visa requirements and dinner/hotel reservations when required. Key point of contact for our corporate travel agency.

Timely submission and reconciliation of expenses for CEO

Record Annual Leave for the CEO and track the a/l of the Office of the CEO

Support with event management for various conferences when required

Use SharePoint to electronically file all meeting actions/board papers/business updates etc. for the executive team

Arrangement of meetings both internal and external when required

Work on adhoc projects when required (will include desktop research, collating data etc.)

Drafting PowerPoint presentations when required

Manage any archiving requirements

Maintain an action tracking log and be responsible for ensuring the timely completion of all actions

Work collaboratively as a team with other Executive Assistants to provide back up, holiday cover and support for each other

Knowledge, Skills, and Experience:

5+ Years Executive Assistant experience reporting into a CEO or similar

Prior experience working in a global fast paced environment preferred

Ability to draft correspondence on behalf of the CEO

High level of initiative and self-motivation, and proactive in approach

Ability to demonstrate flexibility in the management of changing priorities and workload on a day-to-day basis

Advanced knowledge of Microsoft office

Highly discreet and confidential in dealing with business and people matters

Excellent attention to detail and the ability to handle pressure

Good stakeholder management skills

Proven ability to manage project timelines and expectations

Excellent communicator – both verbal and written
