Currently, we are looking for Personal Assistant, with Responsibilities:
Job Summary:
We are looking for a highly resourceful, agile, and tech-savvy Personal Assistant (PA) to the Director. In this dual-capacity role, you will provide high-level administrative, financial, and operational support to the Director. You will ensure seamless communication, bridge operational gaps, and handle everything from data management to field dispute resolutions and communication between internal and external teams.
Key Responsibilities
- Schedule & Meeting Management: Manage calendars (Google Calendar & Lark), set up meeting rooms, arrange refreshments, and take comprehensive Minutes of Meeting (MoM).
- Personal Needs: Attend to the Director's personal administrative needs
- Emergency & Crisis Handling: Assist Director in handling unexpected situations (e.g., managing car accident procedures, dealing with insurance/third parties, and settling related payments).
- Legal & Documentation: Manage document signing processes via Mekari Sign, follow up on signatures, and handle approval seal requests for stamping.
- Financial Reimbursement: Manage and process all reimbursement claims for the founders.
- Daily Operations: Assist the operations team with data tracking and data management
- Data Management: Update weekly Business Progress & Support the Business Development team in tidying up trackers and operational sheets.
- Special Projects: Coordinate and monitor on a project basis.
- Field Dispute Resolution: Handle on-site issues directly, including resolving, facing/negotiating with third parties on the ground and as a bridge handle communication between founders and third-party vendors.
Requirements:
- Experience: Minimum 1-2 years of experience as a Personal Assistant, Executive Assistant, or Operations Specialist (experience in MCN, TikTok Enabler, or startup environment is a huge plus).
- Tech-Savvy: Proficient in Lark, Google Workspace, Mekari Sign, etc.
- AI-Literate: Familiar with using Claude AI or similar tools to create basic data scrapers and dashboards.
- Social Media Savvy: Strong understanding of TikTok algorithms, content trends, and video/poster editing layout ideas.
- Financial Literacy: Basic understanding of journal and transaction for petty cash
- Soft Skills: High emotional intelligence (EQ), excellent negotiation and communication skills, able to maintain confidentiality, and remains calm under pressure.
- Adaptability: Willing to be flexible with working hours to support the founders' needs and ready to visit various project locations if required.
- Fluent in English and Indonesian (both verbal and written) is required for daily corporate communication and reporting.
- Fluency in Mandarin (verbal and written) is a point plus
Location: South Tangerang (BSD) – On-site
Working Arrangement: Monday – Friday 10.00 am – 06.00 pm
