Harrison Asset Management is a single-family office taking care of the investment, corporate and philanthropic requirements of an Asian family that is based in Singapore.
The Personal Assistant (PA) is expected to perform a variety of tasks and often handle urgent requirements. An ideal candidate is responsive, thoughtful, self-directed, positive, and thrives in a challenging role. This role reports to the Principal.
Job Responsibilities
Manage the schedules, communications, and administrative requirements of the Principal, including drafting, preparation and management of emails and business correspondences on his/her behalf
Minute taking during meetings and preparation of reports. Collate and prepare information to support and brief the Principal prior to meetings, as well as undertake appropriate follow-up actions
Manage household administration matters including banking, payments and record-keeping
Perform a management and coordination role for the household staff including maids, drivers, cooks and secretaries (where applicable)
Coordinate with internal teams and external service providers to fulfill a variety of requests, including household/vehicle maintenance matters and transportation arrangements
Handle mail management and arrangement of deliveries and couriers
Assist with organization of celebrations and events
Assist with travel and visa arrangements and provide concierge support when the Principal is traveling with the understanding that this can occur across different time zones
Make all travel arrangements and reservations, including flights, hotels, dining, land transfers and other logistics
Maintain records of travel credits, open tickets, memberships, preferred vendors/hotels/restaurants
May be required to travel from time to time to provide assistance with errands during trips
Liaise with various teams and service providers to gather and consolidate information such as trip expenses and prepare reports for management review
Liaise with other household PAs to fulfil work requirements, including coverage of duties for other Principals
Assist with general administrative work and any business requirements from time to time
Job Requirements
Diploma or Degree with 7 to 10 years of working experience, preferably in C-level executive support, secretarial roles, office administration or client services
Proficient in Microsoft Office and remote collaboration tools; comfortable with adopting the usage of new tech tools
Excellent written and verbal communication skills with high level of tact and discretion
Able to professionally handle sensitive information and maintain complete confidentiality
Proactive team player with strong interpersonal skills and the ability to work independently
Highly adaptable and able to manage a varied and fluid job scope
Ability to work flexible schedules including weekends and holidays
Meticulous, organized, resourceful and process driven
