Summary
We are seeking a dedicated and highly organized Office Administrator to join our dynamic real estate branch office. The Office Administrator will be responsible for managing daily office operations, assisting the real estate agents, and ensuring the office runs smoothly. This position plays a crucial role in maintaining efficiency and professionalism within the office.
Key Responsibilities:
Office Management
· Greet visitors, clients, and vendors with a warm and professional demeanor.
· Maintain a neat and organized office space.
· Order office supplies and manage inventory.
Technology Proficiency
· Be very tech savvy as well as proficient in using Canva for marketing material and office communication.
· Utilize the provided real estate software and office applications for data management.
· Troubleshoot minor technical issues and assist team members with technology-related needs.
Administrative Support
· Provide administrative support to real estate agents, and branch managers including document preparation, data entry, and scheduling appointments.
· Provide support to Harper Property Management team, including accepting rent payments, deposits, applications, keys and administrative support as needed.
· Assist in preparing and distributing marketing material, including using Canva.
· Submit and monitor all electronic files of real estate transactions.
Communication
· Answer phones and handle inquiries in a friendly and knowledgeable manner.
· Relay messages and direct calls to the appropriate parties.
· Manage incoming and outgoing mail and packages.
Financial Management
· Assist with financial transactions, including processing invoices and receipts.
· Monitor and manage office expenses and report to the Accounting Dept.
Qualifications:
· High school diploma or equivalent; associate or bachelor’s degree is a plus.
· Previous office administration experience is preferred, ideally in a real estate or property management setting.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with real estate software is a plus.
· Excellent communication skills, both written and verbal.
· Strong organizational skills and the ability to multitask effectively.
· A friendly and professional demeanor with exceptional customer service skills.
· Attention to detail and a commitment to maintaining a clean and organized office environment.
