Prudential International Assurance (‘PIA’) is an Irish domiciled insurance undertaking which is part of the M&G plc Group. PIA has two branches, one in the UK (Third Country Branch) and one in Poland (EEA Branch).

PIA is a leading insurer in the UK offshore bond market, providing multi-asset solutions to UK nationals resident in the UK, the Crown Dependencies and selected countries in continental Europe. PIA’s current markets outside of the UK include Poland (via the Poland Branch), France, Spain, Malta, Cyprus, Gibraltar and the Crown Dependencies (Isle of Man, Jersey and Guernsey).

PIA also provides a wholesale market solution that facilitates European domiciled third party distributors to make investments in the PAC With-Profits Fund.

Role purposeThe purpose of this role is to provide comprehensive administrative support to senior executives while also managing day-to-day office operations efficiently.

Key ResponsibilitiesExecutive Support:

Manage calendars, schedule meetings, and coordinate travel arrangements for senior executives.

Office Management:

Coordinate office maintenance, in particular act as main point of contact for serviced office provider.

Assist with onboarding new employees, including IT set up and orientation.

Oversee office supplies inventory, order replenishments, and maintain vendor relationships.

Administrative Support:

Assist with drafting and editing documents, correspondence, and presentations.

Manage expense reports, invoices, and other financial documentation.

Handle sensitive and confidential information with discretion and professionalism.

Provide general administrative support such as filing, scanning, and copying.

Communication and Coordination:

Serve as a point of contact for internal and external stakeholders, conveying messages and requests effectively.

Coordinate meetings and staff events, including logistics and attendee management.

Collaborate with other team members to ensure seamless communication and workflow.

Key Skills And Knowledge Required

Proven experience as a personal assistant, executive assistant, or office administrator.

Exceptional organizational skills with the ability to multitask and prioritize effectively.

Strong written and verbal communication skills, with a keen attention to detail.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.

Personal attributes

Highly organised and proactive.

Discrete and professional when handling confidential information.

Ability to work independently with minimal supervision, as well as collaboratively as part of a team.
