We are seeking a highly organized and efficient Personal Assistant to provide comprehensive administrative support to our executive team. As a Personal Assistant, you will play a pivotal role in ensuring the smooth operation of our organization, allowing our executives to focus on their core responsibilities. This position is ideal for individuals who excel at multitasking, have strong communication skills, and can maintain the highest level of confidentiality.

Please note: this is a fixed term contract role (until May 2024)

Key Responsibilities:

Calendar Management: Manage and prioritize the executive’s calendar, scheduling meetings, appointments, and travel arrangements.

Communication: Handle incoming and outgoing emails, phone calls, and other correspondence on behalf of the executive, providing timely responses and filtering information.

Documentation: Prepare, edit, and proofread documents, presentations, and reports for the executive, ensuring accuracy and professionalism.

Travel Coordination: Arrange travel itineraries, accommodations, transportation, and visas for the executive’s business trips.

Meeting Support: Attend meetings with the executive, take minutes, and follow up on action items to ensure tasks are completed.

Administrative Tasks: Complete administrative tasks such as expense reporting, file management, and office organization.

Confidentiality: Safeguard sensitive information and maintain the highest level of discretion and confidentiality.

Project Support: Assist with special projects and research initiatives as requested by the executive team.

Gatekeeping: Screen and prioritize visitors, calls, and correspondence, and direct them to the appropriate individuals.

Stakeholder Relations: Build and maintain positive relationships with internal and external stakeholders.

Event Planning: Help coordinate and plan events, meetings, and conferences.

Ideally you bring the following attributes:

Bachelor’s degree in business administration, office management, or a related field.

Proven experience as an executive assistant or in a similar role.

Strong organizational and time management skills.

Excellent communication and interpersonal abilities.

Proficiency in using office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Exceptional attention to detail and the ability to multitask effectively.

Adaptability to changing priorities and the ability to work well under pressure.

Discretion and the ability to handle sensitive information with integrity.

Strong problem-solving and critical thinking skills.

Previous experience working with C-suite executives is a plus.

Knowledge of basic accounting or bookkeeping may be advantageous but is not mandatory.
