Role Description

The Personal Assistant to the CEO is a mission‑critical, high‑visibility role responsible for ensuring the CEO’s time, priorities, and strategic initiatives are executed with precision. This is a full‑time, on‑site position based in West Palm Beach, FL, supporting a CEO who moves fast, expects excellence, and requires a partner who can think, anticipate, and execute at a high level.

This role blends executive support, operational coordination, business acumen, and hands‑on execution. The ideal candidate is intelligent, polished, loyal, and capable of managing both the smallest details and the largest priorities without losing sight of the company’s mission.

Key ResponsibilitiesExecutive Support & Operations

  • Manage the CEO’s calendar, schedules, meetings, and follow‑ups
  • Organize and prioritize incoming communications
  • Prepare documents, presentations, reports, and briefing materials
  • Coordinate internal and external meetings with precision
  • Maintain confidential information and records with absolute discretion

Execution & Follow‑Through

  • Receive, interpret, communicate, and execute complex, multi‑step instructions
  • Track tasks, vendors, customers, and action items to completion
  • Ensure all deadlines are met without personal excuses
  • Support special projects, research, and strategic initiatives

Business Development & Administrative Support

  • Assist with business development activities, research, and opportunity tracking
  • Support basic accounting tasks, financial organization, and reporting
  • Draft professional emails, communications, and executive correspondence

Travel & Logistics

  • Coordinate domestic and international travel
  • Travel with the CEO within the U.S. and abroad as needed
  • Adapt quickly to changing schedules and priorities

Cross‑Functional Collaboration

  • Work closely with internal teams, external partners, and clients
  • Ensure the CEO’s time is protected and used effectively
  • Represent the CEO and company with impeccable manners and professionalism

Growth & Industry Integration

  • Learn the medical device manufacturing environment
  • Develop understanding of regulated operations, QMS, and compliance
  • Grow into expanded operational responsibilities over time

  • Ability and willingness to travel domestically and internationally
  • Ability to work extended or irregular hours when required

Education
