The Personnel Assistant will perform a variety of administrative responsibilities in support of the Civilian Human Resources Directorate (CHR).
Responsibilities
Compose and type a variety of correspondence and memoranda of a technical and statistical nature from instructions, rough draft, notes, or other printed material.
Use PC word processing software and office automated equipment to prepare, copy, and edit letters, memoranda, briefing materials, instructions, staff studies, reports, forms, etc., and create databases.
Use a wide variety of correspondence requirements and formats to produce reports, charts, graphs, and spreadsheets. Ensure accuracy and proper formatting.
Ensure the accuracy of completed materials, including format, grammar, punctuation, spelling, and style.
Process general human resources (HR) and payroll actions in designated automated systems.
Establish and maintain databases and office files on a wide range of topics, following policies and procedures.
Gather materials from files for briefings, meetings, etc.
Provide guidance to managers, staff, and external customers on correspondence, reporting, and administrative procedures.
Serve as point of contact for employees on routine administrative matters and coordinate with support offices.
Create civilian personnel actions and coordinate actions for department employees, including appointments, promotions, reassignments, etc.
Assist with requisitioning and maintaining office materials, supplies, and equipment; prepare reports; photocopy; distribute information.
Screen telephone calls and visitors, exercise tact and judgment, and prepare messages.
Maintain appointment calendars and coordinate meetings to avoid conflicts.
Arrange and coordinate travel and prepare related requests and documentation.
Manage office correspondence, incoming and outgoing mail, and ensure proper follow-up.
Perform other duties as assigned.
Qualifications
Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent experience.
Minimum four (4) years of related experience, or consideration of less with relevant education.
Minimum two (2) years of high-level HR administrative support experience.
HR Certification preferred.
Knowledge, Skills, and Abilities
Proficient in preparing various correspondence and reports using computer software.
Proficient with Microsoft Office, Google Suite, and specialized systems like DCPDS, ATAAPS, GFEBS, and DCPS.
Extensive knowledge of administrative and clerical support processes.
Excellent verbal and written communication skills.
Ability to plan, prioritize, and coordinate office activities.
Ensure accuracy in documents, reports, and payroll data.
Knowledge of HR procedures and systems.
Effective communication skills to interact with staff and management.
Physical Demands
Regularly required to sit, talk, hear, and use hands and arms. Occasionally required to walk, stand, climb, stoop, kneel, crouch, or crawl. Must occasionally lift/move up to 25 pounds. Specific vision abilities required include close vision.
