Job Purpose
This position will serve as the building administrator and a key support professional for our corporate executive leadership team and Board Secretary, and will assist with logistics coordination for various corporate events. This “Director of First Impressions” will be critical in ensuring a seamless, professional, and welcoming experience for executives, board members and internal stakeholders who utilize the COR Hub.
Duties and Responsibilities
COR Hub Facility Administration
Serve as the primary point of contact for all visitors entering the COR Hub.
Coordinate scheduling, maintenance, and upkeep of the facility with vendors, including janitorial, HVAC, repairs, maintenance, and supplies.
Maintain facility amenities such as coffee, paper products, and other essentials.
Oversee and administer the online room and workspace reservation system; troubleshoot issues and assist team members as needed.
Ensure meeting spaces are reserved, equipped, and prepared for use in advance of key meetings, audits, training, and events.
Executive & Board Administrative Support
Provide high-level administrative support to the corporate executive leadership team, including scheduling meetings, coordinating logistics, and preparing documentation.
Assist with the preparation and submission of executive expense reports.
Support the Board Secretary in assembling, formatting, and distributing materials for Board and Board Committee meetings using the Diligent Board Books platform.
Coordinate incoming mail directed to COR Hub executives that is sent to the company’s registered office in Pascagoula, MS.
Maintain confidentiality and exercise sound judgment when handling sensitive corporate information and correspondence.
Event & Logistics Coordination
Assist in planning and execution of corporate functions, including the annual family picnic, Board Christmas party, Corporate planning Retreats, and Quarterly Mixers.
Manage logistics such as venue setup, catering coordination, material preparation, and calendar scheduling.
Collaborate with other administrative professionals and team members across the Family of Brands to support event needs and coordination.
Minimum of 5 years’ experience in banking, administrative, facilities coordination, or executive support roles.
Demonstrated ability to manage multiple priorities while maintaining a calm and professional demeanor.
High level of discretion and professionalism with exposure to sensitive and confidential information.
Strong organizational and detail-oriented skills, ability to work both independently and as part of a team.
Comfortable with technology, including Microsoft Office Suite, calendar and scheduling software, and facility management tools.
Working Conditions & Physical Requirements
This position will be in the COR Hub in Mobile, AL.
Limited travel may be required between Mobile and Pascagoula.
This position is primarily performed in a professional office environment.
Must be able to remain in a stationary position for long periods.
Must be able to lift up to 25 pounds on occasion.
