Position: Pioneer Park Summer Administrative Assistant I
Provide a full range of secretarial and receptionist functions for the Riverside Division.

REPORTS TO:
Pioneer Park Manager
POSITIONS SUPERVISED:
None
Serve as receptionist for the department; screen, refer and record telephone calls and answer public inquiries regarding Parks & Recreation, Carlson Center and Pioneer Park.
Type correspondence, memoranda, contracts, purchase orders, reports, and public service announcements; assist with bulk mailings.
Maintain calendar of events in the department and the Park Reservations calendar; schedule use of Riverside Division facilities.
Organize, check accuracy, type and finalize monthly invoices for facility and collect monies for equipment and facility rental, etc., and track Borough receipts assigned to the Riverside Division.
Type monthly report of divisions’ attendance, revenues, and activities; compile and tabulate statistical data and maintain records of all facility user groups and facility usage.
Design and create displays for special events, media publications, public information programs, and assist with special events.
Maintain office supply inventory and filing systems for Pioneer Park.
MINIMUM QUALIFICATIONS:
High school diploma or equivalent and three years of progressively responsible office experience as a secretary/administrative assistant with knowledge of secretarial general office practices and procedures, of which one year of the required experience may be substituted with up to one year of office occupation education.
Demonstrated ability to perform basic accounting/bookkeeping functions.
Demonstrated ability to operate a personal computer and type with speed and accuracy. Proficiency in Microsoft Word, Excel, required; desktop publishing software preferred.
PREFERRED:
Ability to have and maintain a valid driver’s license and to meet insurance standards and maintain insurability under the Borough’s insurance program. If personal automobile is used for Borough business, proof of insurance at statutory limits must be provided. (A CURRENT COPY OF DRIVING RECORD WILL BE REQUIRED UPON REQUEST).

Demonstrated ability to understand and execute oral and/or written instructions and to apply guidelines to varied situations; perform work in an orderly manner.
Must be capable of functioning with minimal direction and perform work in an organized and professional manner sometimes under stressful situations and the pressures of short deadlines.
Ability to deal effectively and harmoniously with the public and maintain effective working relationships with other employees.
OTHER
A PROFICIENCY TEST MAY BE ADMINISTERED.
This position requires a criminal background check.
JOB CONTACTS:
Frequent interdepartmental business contact, continuous routine public contacts and frequent contacts involving outside organizations/agencies.
JOB RESPONSIBILITY:
Does not supervise; experiences minor problems daily and occasional major ones that must be resolved on own initiative with little immediate supervision; the consequences of error, carelessness or mistaken judgment require minimal effort to recover.
WORK ENVIRONMENT:
General office where conditions are pleasant; good, clean conditions where accidents/hazards are negligible; requires short periods of light lifting, pushing or pulling (1-25 lbs.).
