Position Overview:
We are seeking a highly organized and proactive Office Manager to oversee daily office operations, facility management, and employee engagement initiatives across multiple locations. The ideal candidate will be responsible for ensuring smooth office functions, managing administrative staff, and coordinating company events.
Key Responsibilities:
Office Operations & Administration
Manage front-end reception, including supply ordering and staffing.
Oversee new office openings by coordinating onboarding, office needs, floor plans, seating arrangements, and signage in collaboration with facilities and IT.
Handle office moves and transitions, ensuring minimal disruption to operations.
Supervise and support office administrators across multiple locations (Huntington, Toms River, Edison, Ewing).
Maintain vendor relationships and oversee office maintenance requests, including repairs, furniture procurement, and signage.
Other duties as assigned by management.
Employee Engagement & Culture Initiatives
Organize Lunch & Learn sessions by arranging meals across all office locations.
Plan and manage company-wide events, including town halls, team-building activities, and firm-wide celebrations.
Oversee holiday party planning, including venue selection, invitations, entertainment, transportation, and raffle prizes.
Order and distribute culture-related items, swag, and branding materials.
Budgeting & Facility Management
Manage budgets related to culture, events, and facility maintenance.
Coordinate with facility teams for cleaning services, maintenance requests, and workspace enhancements.
Organize seating arrangements, ensuring efficient office layouts and transitions.
Qualifications & Skills:
3+ years of office management or administrative leadership experience in a fast-paced environment.
Strong organizational and multitasking abilities.
Exceptional attention to detail, interpersonal skills and analytical abilities.
Excellent communication skills and ability to collaborate with cross-functional teams.
Experience in vendor management, budgeting, and event planning.
Proficiency in Microsoft Office, Google Workspace, and office management tools.
Experience developing internal systems.
