How will you contribute to the team?
The Office Administrator will report to the Manager, Administrative & Executive Support and under the general supervision of Port Elgin site Director and will be responsible for the SNC-Lavalin Port Elgin Office. This role will require leadership and administration of the day-to-day activities at the Port Elgin Office.
To perform this role successfully, the candidate will be responsible for but not limited to the following:
Single Point of Contact (SPOC) for all deliveries, visitors, contractors etc. as well as the point of contact for facility issues as reported by staff/management
Coordinate facility issues with landlord and property management and head office Facilities Manager
Coordinate office contracts such as coffee, cleaning and supply orders
Organize staff communications, staff events, etc.
Administrative Assistant responsibilities; coordinate internal/external meetings, travel arrangements, expense claims, timesheets, etc.
Printer service and copy count service with support from head office IT
Troubleshoot and work with head office IT on all aspects of the Port Elgin office network, printers, etc. Do IT work on their behalf as required. Such as network testing, resets, set-ups
Manage/coordinate service contracts on behalf of head office facilities management and operations
Coordinate and participate in sponsorship opportunities in Bruce County including management within approved budget
Security clearance for access to Client computer network and site if required, including:
Coordinate and request for security clearance application for new hires.
Onboarding/Offboarding of SNC-Lavalin Personnel
Maintain team’s qualification and security access
Be familiar with nuclear and industrial safety including adherence with corporate and customer safety programs. Coordinate with head office HSE department
Ensure that all activities are performed in accordance with corporate standards of ethical compliance, cyber-security, import-export regulations, intellectual property protections and security clearance protocols. Training is provided
Responsible for updating ISNetworld with support from head office HSE department
What will you contribute?
5+ years’ experience supporting various type of administration
Post-secondary education or related business diplomas/certificates
Lead by example and set high standards for Health & Safety and Nuclear Safety Culture
Excellent organizational, communication and customer relationship skills.
Demonstrated oral and written communication skills
