About the Opportunity

The Practice Administrative Assistant provides front-of-office support and administrative assistance to the Traverse Accountants team. This role ensures the smooth day-to-day operation of the office, supports the onboarding and administration of client engagements, and assists the Practice Manager and Office Manager with general practice administration. 

The position plays an important role in maintaining professional client interactions, accurate administrative processes, and well-organised systems that support the firm’s accountants and leadership team. 

Key Responsibilities

Front-of-Office & General Administration 

  • Answer and direct incoming phone calls in a professional and courteous manner 
  • Manage reception duties and ensure a positive visitor experience 
  • Receive, sort and distribute incoming mail 
  • Scan, file and maintain electronic document records 
  • Maintain organised client files and document management systems 
  • Uphold confidentiality and professionalism in all client and firm interactions 

Practice Administration Support 

  • Prepare documents for electronic signature using FuseSign and manage wet signing where required 
  • Assist with preparation of company and trust incorporations and related documentation 
  • Maintain and update client records within the firm’s CRM system (Action CRM) in accordance with documented procedures 
  • Collect and process incoming client mail, escalating items where appropriate 
  • Provide all Traverse Accountants and Managing Director mail to the Practice Manager 
  • Support client onboarding and offboarding administration processes 
  • Provide general administrative support to the broader team as required 

Office Support 

  • Assist with office restocking and maintaining office supplies as directed 
  • Maintain kitchen facilities, including office opening and closing procedures 
  • Assist with coordinating monthly employee birthday celebrations, and other workplace social events 
  • Support the overall organisation and presentation of the office environment 
  • Assist with coordination of suppliers and service providers where required 

Systems & Process Support 

  • Follow established systems, policies and procedures across the practice 
  • Assist with testing of system improvements or new processes where required 
  • Support the documentation and updating of standard operating procedures (SOPs) 
  • Participate in internal systems training and process improvement initiatives

Systems & Software Exposure (Desirable) 

  • Microsoft Office Suite (Word, Excel, Outlook) 
  • CRM systems (Action CRM or similar) 
  • Electronic signature platforms (FuseSign or similar) 
  • Document management systems 
  • Exposure to accounting software such as Xero (desirable but not essential)
