We are afast-paced, growing heart and vascular clinic seeking a Surgical Procedure Scheduler. The ideal candidate is highly motivated, has a friendly demeanor, is organized and detail-oriented with a strong ability to multitask.

Essential Job Functions:

Ensure that all patient surgeries and/or procedures are scheduled timely.

Submit authorization request to appropriate department and monitor status daily to ensure timely scheduling.

Contact the patient/or HIPAA approved contact. Coordinate date, time, and location as well as review instructions.

Mailing or emailing all lab orders to the patient in advance.

Coordinating cases with other provider offices.

Monitoring the physician’s day to day surgical procedures to ensure maximized schedule.

Data entry into multiple EMR and scheduling platforms.

Coordinating daily schedules with device representatives

Coordinating with outside hospitals and facilities regarding availability

Work closely with onsite Surgery Center regarding scheduling changes and protocols.

Handle high call volume and possess the ability to communicate effectively.

Minimum Qualifications:

Must be detailed oriented and possess the ability to multitask.

Able to handle urgent and or emergent situations with confidence.

Excellentcommunication skillsover the phone.

Must have 2 years of surgery scheduling experience.

Medical insurance experience and knowledge of the authorization process.

Knowledge of HIPAA

Strong clerical skills including proficiency with EMRs, Microsoft Office, and keyboarding skills.

Communicates clearly and concise with patients, providers, and other teammates.

Proactively handles patient issues withcompassion, confidence, and clarity.

Treats all patients, callers, visitors, and teammates withrespect, courtesy, kindness, and dignity.

Demonstrates the ability to prioritize competing priorities, organize the workflow and professionally attend to competing demands.

Desired Qualifications:

Previous medical office experience preferred.

Previous surgical procedure scheduling preferred.

Experience in healthcare, specifically in Cardiology Practices

Ability to navigate through Electronic Medical Records system.

Physical Requirements

This position requires a full range of body motion. While performing the duties of this job, the employee is regularly required to sit, walk, and stand; talk or hear, both in person and by telephone; use hands repetitively to handle or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds.

Work Environment

Work is performed in a typical medical clinic and/or business office environment. Work in a clinical setting has the potential for exposure to blood and bodily fluids, and infectious pathogens. Must be able to use protective equipment as required.
