Starting Salary: $58,798.24 annually, $1,130.73 weekly
General Description:
The Administrative Services Coordinator oversees the administrative operations within the District Offices of the Volusia Sheriff’s Office. This position supervises administrative assistants, ensures adequate staffing levels and maintains efficiency in daily functions. The Administrative Services Coordinator evaluates operational effectiveness, facilitates quality assurance measures, and provides recommendations to enhance efficiency and overall performance. This position will be required to travel between district offices or other Volusia Sheriff’s Office locations regularly.
Minimum Qualifications:
Bachelor’s degree in Business Administration, Public Administration, Political Science Social Science or related field AND
Two (2) years of experience in law enforcement or related field.
A comparable amount of education and experience may be substituted for the minimum requirements.
Must successfully complete and pass required skills testing.
Background Screening: This position will require an extensive background investigation.
Essential Functions:
Proposes procedure changes to enhance efficiency and uniformity.
Develops and maintains procedure manuals for district Administrative Assistant positions.
Trains district Administrative Assistants on new and/or current processes and procedures.
Acts as a primary floater for district offices.
Schedules floaters for district offices.
Coordinates employees leave requests, overtime, and scheduling.
Understands and can perform all tasks assigned to district Administrative Assistants.
Completes, submits, and tracks mileage reimbursements for floaters.
Communicates with district command staff.
Provides support to district Administrative Assistants.
Reviews agency wide infraction and citations daily.
Reviews all documentation submitted for accuracy, completeness, and proper signature prior to submission.
Compiles data and prepares various statistical and informational records and reports for management review.
Coordinates and participates in activities, to include collection and analysis of data, assistance in the preparation of data and analysis.
Ensures quality assurance through overseeing data entry, file maintenance, file retention, and retrieval and confidentiality of processed work.
Interacts with various outside departments in obtaining and relaying information applicable to unit needs, (I.E Legal, Finance, HR)
Manages, coordinates, and performs subsequent evaluation on all activities of specially assigned programs or projects according to areas.
Attends work on a regular and consistent basis.
Must adhere to Federal, State, County, and local ordinances.
Performs other duties as assigned.

Environmental Conditions:
General office setting with most duties being performed while sitting at a desk, table or workstation.
Must be able to visit multiple locations/district offices.
Must be able to work under stressful conditions.
Must be able to relocate to other county locations based upon operational needs.
Must be able to remain available to work when a public emergency or disaster occurs.

VSO General Orders and procedures.

Knowledge of various databases and software programs to efficiently perform duties of the position.
Knowledge of public administration principles and practices.
Modern office practices, procedures and equipment.
Business English, spelling, punctation, and arithmetic.

Physical Requirements:
Sedentary work.
