The primary purpose of the Program Coordinator II is to coordinate, manage and oversee the Highway Patrol’s vehicle fleet administration, including the management of all records and data analyses related to the Highway Patrol’s motor fleet.The assigned work location is X7 Logistics in Raleigh, NC (Wake County).

Job responsibilities include the following:
Fleet Management (65%):

Managing forms, documents, registration, title work, and maintaining database on all vehicles bought and assigned to Highway Patrol and Motor Carrier Safety Assistance Program (MCSAP) personnel.

Maintaining records on new vehicle assignments, transfers of vehicles, personnel transfers, sales of surplus property, and wrecked vehicles in BSIP/SAP.

Maintaining license plate database for the issuance of Highway Patrol seniority and confidential unmarked tags, permanent and private license tags.

Processing and maintaining records on the disposal of any Highway Patrol vehicle including equipment such as bar lights, tires, and scrap metal.

Managing all pro-keys within the patrol.

Coordinating the sale of vehicles with North Carolina State Surplus Property and titles are transferred to the new owner.

Coordinating the delivery of new vehicles with vendors and perform inspections of the vehicles prior to acceptance to ensure vehicles meet the Patrol’s standards.

Providing training as needed to other agencies in the area of properly maintaining a fleet that exceeds 2,000 vehicles.

Research and Reports (15%):

Conducting independent research & preparing specialized reports and statistics as required for the State Legislature and as needed by the Captain, Lieutenant, and/or First Sergeant.

Creating monthly, quarterly, and annual reports on the assignment of vehicles owned, vehicles sold, Highway Patrol accidents/incidents, reimbursements and the losses due to accidents involving Highway Patrol personnel.

Providing projected vehicle needs for future budgets based upon mileage trends and vehicle utilization.

Management of Records and Data Analyses (15%):

Managing records and data analyses for the Highway Patrol’s fleet administration and vehicle accident/incident reports.

Conducting independent research, compiling data and creating specialized reports and statistics as required by the Lieutenant, First Sergeant, and Sergeant of Logistics.

Processing all warranty and recall claims through the Chrysler website.

Providing training as needed to Supervisors on the documentation required as it relates to Patrol Vehicle Collision reimbursement.

Communicating with the Unit Commander of Logistics and the Highway Patrol’s Legal Representation concerning possible Civil Litigation needs as it relates to damages to the fleet and infrastructure.

Managing a database that can be provided to the State Auditor Office and the Patrol’s Liability Insurance Provider as needed concerning the current status of the Patrol’s Fleet.

Support for Lieutenant, First Sergeant, Sergeant (5%):

Providing support and handling various tasks as assigned/requested by the Lieutenant, First Sergeant, and Sergeant of the Logistics Unit.

Completing various projects and compile reports as assigned using Excel, Access, Word, SAP, etc.
