Summary
The Program Facilitator is primarily responsible for supporting Child and Family Services-Head Start and Early Head Start program operations. These include processing and paying invoices, completing monthly billing reports, answering and directing calls, and supporting centers, content managers, and directors.
Responsibilities
Perform additional duties and participate in work committees as assigned.
Provide support to the Child and Family Services Director, Head Start and Early Head Start Director, CFS Leadership team, and center leadership.
Support all office management tasks, including purchasing supplies and materials.
Assist with preparing for meetings and trainings, and prepare, edit, or modify various written materials such as correspondence, memos, meeting minutes, policies, procedures, and reports.
Assist with recruitment and retention activities, including screening, scheduling interviews, and preparing personnel and payroll forms for Child and Family Service applicants.
Review and track purchase approvals, invoices, and check requests for accuracy and submit for approval within established time frames, working closely with accounting to meet deadlines.
Maintain program inventory annually.
Review all invoices for amounts and grant coding for all CFS staff.
Support the Quality Assurance Manager with Child Plus and data entry as needed.
Complete and compile program participant survey information.
Submit office maintenance requests promptly using the work order system.
Education and Experience
An Associate’s or Bachelor’s degree is preferred; relevant experience may be considered.
Proven experience as an administrative assistant or similar role, with strong time management skills to handle a high volume of responsibilities in a fast-paced environment.
Knowledge, Skills, Abilities
Demonstrate proficiency in quality improvement, performance measurement, and program evaluation. Show advanced computer skills, including proficiency in Windows OS and Office Suite (Word, Excel, Outlook). Ability to learn new software as needed for CTL programs.
Work independently with minimal supervision and high accountability. Possess excellent interpersonal skills and the ability to collaborate effectively with management, staff, and families.
Prioritize and execute multiple projects under tight deadlines with attention to detail.
