Full Job Description
Job Summary:
The Project Admin provides administrative support to the project management team, ensuring smooth coordination between field operations, subcontractors, onsite office personnel/onsite management, and corporate office personnel.

Duties/Responsibilities:
Provide administrative and clerical support to field personnel and act as a liaison between corporate office and job sites
Maintains site roster and time off calendars
Promptly answer the phone, distribute incoming and outgoing mail, supports UGK time entry as needed, order office supplies, set up and oversee FedEx/UPS shipments
Assist Field Supervision and corporate staff in collecting data on rental equipment, licensing for on-road vehicles, tracking “idling time” of equipment
Participates in daily management meetings as requested, taking minutes as required
Maintains office supplies for site
Assists with project set-up activities, including but not limited to setting up office contacts and services
Assists with timecard preparation and review for the site
Assists site supervision with completing and submitting employee documents & ensures employee orientation packets, training programs, and employee handbooks are in supply
Assists the Site Safety Coordinator as needed
Is a safety champion of the organization’s safety culture
Assists with general HR items, including onboarding of new employees by ensuring completion of new hire paperwork, orientation, and drug testing is completed timely
Complies with all company policies
All other duties assigned or delegated
Proficient with Microsoft applications (i.e., Word, Excel, Outlook, and PowerPoint)
Ability to organize and prioritize numerous tasks under pressure
Strong communication and interpersonal skills, with the ability to interact effectively with all levels of personnel.
Familiarity with time tracking and simple HR functions
Ability to work independently and thrive in a fast-paced, dynamic environment
Education/Experience:
One year experience in administration or equivalent combination of training and/or experience
High School Diploma or GED
Physical Requirements:
Occasional lifting (up to 50 pounds), carrying, walking, and standing
Frequent hand/eye coordination to operate computer keyboard and office equipment; vision for reading, recording and interpreting information; speech communication and hearing to maintain communication with employees and other team members
When navigating a job site, the ability to move around project sites, which may involve walking, climbing stairs, and navigating uneven terrain
Valid driver’s license
