We are seeking a detail-oriented and organized Project Administrator to join our project management team. The Project Admin will provide essential support in coordinating and overseeing the administrative aspects of project execution, ensuring smooth communication, timely delivery of resources, and maintaining accurate project documentation. This role is crucial for helping our project teams achieve success while adhering to schedules, budgets, and quality standards.

Key Responsibilities

:

Project Coordination:

Assist project managers in planning, scheduling, and tracking project activities.

Coordinate meetings, prepare agendas, and take minutes during project meetings.

Ensure effective communication across project teams, stakeholders, and clients.

Monitor project timelines and provide updates to the team, escalating delays or issues as necessary.

Document Management:

Maintain and organize project documentation, including plans, contracts, meeting notes, and reports.

Ensure that all documents are updated and properly filed for easy access by the project team and stakeholders.

Track project milestones and deliverables to ensure all are completed on time and to specification.

Budget and Resource Management:

Assist in tracking the project budget, expenditures, and resources to ensure the project stays within scope and budget.

Help coordinate resource allocation, ensuring that team members have the necessary tools and materials to meet deadlines.

Report on the status of project spending and resource usage to the Project Manager.

Reporting and Analysis:

Prepare project status reports, including progress on key milestones, issues, and upcoming deadlines.

Assist with risk management by identifying potential issues and supporting mitigation efforts.

Collect data and metrics for post-project analysis and support the creation of “lessons learned” documentation.

Vendor and Procurement Support:

Assist with procurement processes, including sourcing vendors, obtaining quotes, and managing contracts.

Communicate with vendors to ensure the timely delivery of goods and services required for the project.

Help ensure all procurement processes align with company policies and project needs.

Compliance and Quality Assurance:

Ensure the project complies with internal and external regulations, policies, and standards.

Assist in quality control efforts to maintain high standards for project deliverables.

Project Closure Support:

Assist with closing out the project by ensuring proper documentation, tracking project completion, and compiling final reports.

Help facilitate handover of deliverables to the client or relevant stakeholders.

Qualifications

:

Education:

A Bachelor’s degree in Business Administration, Project Management, or a related field is preferred.

Experience:

1-3 years of experience in project administration, project coordination, or a similar role.

Skills:

Strong organizational and multitasking skills.

Excellent verbal and written communication skills.

Ability to handle multiple projects simultaneously and prioritize effectively.

Knowledge of project management processes and best practices.

Attention to detail and accuracy in reporting.

Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and other relevant software tools.
