JOB DESCRIPTION

Position: ADMINISTRATIVE ASSISTANT

Reports to: Academy Principal

Position Summary

Under the supervision of the Principal, the Administrative Assistant will be responsible for front office and administrative duties for the King-Chavez Neighborhood of Schools. The Administrative Assistant also serves as a liaison with parents and community agencies.

Position Overview

The Administrative Assistant supports functions required to run an efficient and thriving school. S/he will lead the implementation and maintenance of clear operational systems that allow the instructional team to focus on teaching and learning. The Administrative Assistant is responsible for the overall management of the front office functions. This includes areas such as: management of student records, management of student information systems, internal and external communication, and preparing reports. This individual also serves as the key liaison to the Operations, Finance, and Technology departments, which support all King Chavez Schools. The Administrative Assistant must be a highly detailed and organized individual who is willing to be flexible, take initiative, and relishes the challenge of finding ways to work more efficiently.

Essential Duties and Responsibilities

Culture and Communication:

● Believe deeply in the mission and values of the King-Chavez Neighborhood of Schools.

● Greet and assist all visitors in a timely manner.

● Manage all communication systems (phone, mail, marquee, student-related correspondence).

● Maintain accurate volunteer information, including distributing and routing applications for approval, and properly logging in and out all volunteers.

● Translate as needed (written documents and conversations).

JOB DESCRIPTION ADMINISTRATIVE ASSISTANT

● Join regular attendance team meetings and support with interventions/ next steps (including incentives, phone calls, letters, and recruitment efforts)

● Record and schedule school all-calls/ school-wide messages.

Plan, organize, and attend parent events, student exhibitions, and other activities, as appropriate, which may require overtime during evening hours or weekends.

● Prepare and collect correspondence and notices for student information.

● Maintain school calendars and schedule events.

● Check and respond to emails in a proficient and timely manner.

Student Information Systems:

● Student Records

○ Maintain student academic records, including proper storage, security, accuracy, and preservation of academic files.

○ Manage the online enrollment process from start to finish, including verifying applications and forms, managing the wait-list, and coordinating orientation sessions.

● Use a Student Information System (SIS) such as PowerSchool for the following:

Manage & Maintain Attendance
Input Information & Data
Extract/Export Information and Reports
Other data tasks as requested

School Operations Support:

● Manage procurement and inventory of school supplies (e.g., textbooks, uniforms). Assist in maintaining staff budgets.

● Request temporary staff in the event of a staff absence, print lesson plans and copies as needed, and relay necessary information to admin and other staff affected.

● Maintain and monitor ASB accounts and make deposits as needed.

● Assist with our annual audit, site visits, and grant requirements as needed.

● Maintain current versions of all approved forms and publications.

● Other duties as assigned.

Skills and Qualifications

● Minimum of an Associate Degree and/or two years’ related front office/reception experience. Experience working in a school or non-profit is preferred.

JOB DESCRIPTION ADMINISTRATIVE ASSISTANT

● Bilingual is required: Ability to read, write, and speak in English and Spanish.

● High Level of Digital Proficiency (email, scanning, using digital systems, especially G Suite, data entry systems, and digital phone systems).

Must have a Growth Mindset in acquiring new technology skills as needed.
Typing/Data Entry Speed of 65 words per minute minimum.

● Ability to meet or exceed deadlines.

● Ability to self-direct, prioritize, and multitask among competing goals. ● Comfort with working in a fast-paced school setting.

● Demonstrated ability to work well with others and build relationships across teams.

● Excellent written and verbal communication skills with keen attention to detail. ● Unquestioned integrity and commitment to King-Chavez’s mission and values. ● First Aid and CPR Certification is recommended.

● Employment is contingent on satisfactory completion of a criminal background check and a negative TB skin test or chest X-ray.

Pay: $25.00 – $35.00 per hour
