“Job Title: Project Administrative Assistant

Overview:
As a Project Administrative Assistant for our union contractor in California, you will play a crucial role in supporting the smooth and efficient operation of our construction projects. You will work closely with project managers, field staff, and office personnel to ensure that administrative tasks are completed accurately and in a timely manner. Your attention to detail, organizational skills, and ability to multitask will be essential in contributing to the success of our projects.

Responsibilities but not limited to:

Provide administrative support to project managers and field staff, including but not limited to:

Assisting with project documentation, such as contracts, change orders, and submittals.

Maintaining project files and records, both electronic and physical.

Coordinating meetings and appointments, including scheduling and preparing meeting materials.

Handling correspondence and communications, both internal and external.

Assist with procurement and logistics:

Coordinating material and equipment orders, deliveries, and returns.

Tracking inventory levels and maintaining supply stock for the project site.

Liaising with vendors and subcontractors as needed.

Assist with project accounting and financial management:

Processing invoices, expense reports, and timesheets.

Tracking project expenses and maintaining budget records.

Assisting with payroll administration as needed.

Support safety and compliance efforts:

Helping to maintain safety documentation and records.

Assisting with the coordination of safety training sessions and certifications.

Participating in regular safety meetings and inspections.

Provide general office support:

Answering phones, directing calls, and taking messages.

Managing office supplies and equipment.

Assisting with other administrative tasks and projects as assigned.

Qualifications:

Previous experience in an administrative role, preferably in the construction industry or a related field.

Certified Payroll Reporting Experience

Strong in Data Entry

Strong organizational skills and attention to detail.

Excellent communication and interpersonal skills.

Proficiency with Microsoft Office Suite and other common office software.

Ability to prioritize tasks and manage time effectively in a fast-paced environment.

Knowledge of construction processes and terminology is a plus.

Familiarity with union regulations and procedures is preferred.
