The Project Administrator is an integral member of the project team, responsible for assisting the Project Management Team to deliver quality projects, on time and on budget under the direction of the Refurbishment Director

Duties And Responsibilities

Maintain the library of documents (including engineering, architectural, procurement and construction documents). Including:

Understanding project-specific filing systems, interfaces, and general document control processes and manage the flow of information accordingly.

Adhere to record retention policies and standards, and comply with filing system

Communicate relevant information to internal and external stakeholders when required, including meeting minutes

Support the project management team in coordinating project planning activities, developing tools and templates

Implement processes and procedures and conduct training sessions when necessary

Interface between various internal stakeholders

Support the project management team in monitoring project performance (cost, schedule, quality) and assist in completing and distributing regular project reports to key stakeholders

Support the coordination of project close-out activities and transfer to operations

Effectively and accurately communicate relevant project information to the project team

General administrative duties as required.

Relevant technical training or experience.

Work Experience Requirements

3 years document retention / administrative experience

Experience on projects of high complexity

Understand project management processes and document control procedures

Proven knowledge of document filing systems, policies and standards

Experience with electronic document control

Skills, Abilities, And Other Requirements

Proficient in MS Office Suite of products

Emphasis on strong Microsoft Excel skills

Power BI experience is considered an asset.

Exceptional organizational and communication skills

Proven ability to work effectively both independently and in a team-based environment

Demonstrated willingness to be flexible and adaptable to changing priorities

Strong multi-tasking and organizational skills

A Client Security Clearance will be required
