Position Summary
The Project Administrator reports to the Manager, Project Coordinators.
Located in Cleveland, OH.
Full-Time, Hybrid work environment.
The Project Administrator supports the project management team by handling logistics and administrative tasks for client projects. Responsibilities include managing equipment orders, tracking materials, and communicating with contractors and vendors to ensure smooth project execution.
Essential Functions & Responsibilities Service Scheduling and Coordination:
Assist in scheduling service for warranty issues, ensuring timely resolution and customer satisfaction.
Coordinate startup and training schedules with vendors and internal teams.
Invoicing and Documentation:
Process invoices accurately, adhering to budgets.
Prepare closeout documents, including equipment details, warranty info, manuals, and service records.
Logistics and
Communication
:
Track shipment statuses and communicate dates to Project Coordinators.
Quote and process change orders and returns with approvals.
Collaborate with Sales, Finance, and Purchasing departments to meet customer needs.
Relationship Building:
Develop positive relationships with end users, Project Managers, Sales Reps, and Coordinators to facilitate effective communication.

Qualifications & Experience
High School Diploma or GED, or equivalent experience.
1-2 years of administrative or office experience, preferably in food service.
Product knowledge relevant to project coordination.
Proficient in AutoCAD and/or Revit 2014+.
Familiar with Bluebeam software.
Ability to pass a background check post-offer.
