BrownKnows Design is an exhibit design, fabrication, and installation firm specializing in children’s museums, visitor centers, and experiential environments. We create immersive, hands-on exhibits that combine storytelling, education, and craftsmanship.

POSITION OVERVIEW

The Project Assistant supports the project management team by helping maintain organization, communication, and documentation across all phases of a project. This role focuses on coordination and follow-through, ensuring that information flows clearly between team members, clients, and vendors.

This is a support role and does not carry responsibility for managing projects independently.

Due to the nature of the business, essential functions of the job may occasionally require work around oils, solvents, wood dust and metal dust (with respiratory protection and ventilation safety equipment), exposure to high-decibel environments (with hearing protection).

KEY RESPONSIBILITIES

Project Coordination & Support

  • Assist with scheduling, timelines, and task tracking across multiple projects in varying stages of production at the same time
  • Maintain organized project documentation and digital files
  • Track deliverables for each project and help ensure deadlines are met
  • Support internal communication between design teams, shop personnel, and leadership

Meetings & Communication

  • Collaborate with leadership and project management to schedule meetings and manage shared team calendars
  • Attend meetings (via video conferencing and/or in person), and document notes, action items, and decisions
  • Distribute meeting notes and follow up on assigned tasks

Research & Procurement Support

  • Conduct research for upcoming and active projects, as directed by leadership
  • Coordinate ordering of items not produced in-house (printing, props, materials, etc.)
  • Track order status and communicate updates to the team

Logistics & Installation Support

  • Assist with coordinating travel, lodging, and vehicle rentals for installation teams
  • Help align logistics with project schedules and team availability

Client & Presentation Support

  • Assist in preparing materials for client presentations
  • Help organize files and information for client communication

QUALIFICATIONS

Required:

  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • Demonstrated ability to manage multiple tasks and shifting priorities
  • Attention to detail and follow-through
  • Proficiency in Google Workspace and/or Microsoft Office
  • Valid driver’s license

Preferred:

  • Experience in project coordination, administrative support, or similar role
  • Interest in design, fabrication, or creative industries
  • Experience with project management software

  • Not a design or fabrication role
