Job Summary

Network Connex is seeking a highly organized and detail-oriented Project Coordinator / Permit Coordinator to support both the Engineering and Field/Site teams. This position will serve as a key administrative and operational resource, assisting Project Managers, Field/Site Managers, Engineers, and Permit Coordinators with project execution, permit management, customer deliverables, project documentation, invoicing support, and Field/Site-related administrative activities.

The successful candidate will divide their time between Engineering and Field/Site support functions, helping ensure projects move efficiently from design through Field/Site while maintaining compliance with customer, municipal, utility, and company requirements.

Job Duties And Responsibilities

Project Coordination

  • Support Project Managers and Field/Site Managers with day-to-day project administration and coordination activities.
  • Assist with project setup, project tracking, and project documentation requirements.
  • Prepare and compile documentation required for project invoicing and billing workflows.
  • Maintain project records, customer deliverables, project schedules, and tracking logs.
  • Assist with project status reporting and customer reporting requirements.
  • Coordinate communication between Engineering, Field/Site, Customers, Subcontractors, and Internal Departments.
  • Support project closeout activities and final documentation packages.
  • Assist with scheduling meetings, tracking action items, and maintaining project-related communications.

Permit Coordination

  • Assist the Permit Coordination team with permit application preparation and submission.
  • Follow up with municipalities, utilities, railroads, DOT agencies, and other permitting authorities regarding permit status.
  • Maintain permit tracking logs, databases, and permit documentation.
  • Gather and organize supporting documentation required for permit applications.
  • Coordinate permit-related communication between project teams and permitting agencies.
  • Assist with right-of-way, easement, utility coordination, and jurisdictional requirements as needed.
  • Support permit closeout and records retention processes.

Field/Site Support

  • Assist with obtaining Certificates of Insurance (COIs), bonds, and other Field/Site-related documentation.
  • Support subcontractor onboarding and compliance documentation efforts.
  • Coordinate customer, contractor, and municipal document requests.
  • Assist with Field/Site package preparation and distribution.
  • Support field operations through administrative coordination and project tracking activities.
  • Assist Engineering and Field/Site teams with administrative tasks necessary to support project execution.

General Administrative Responsibilities

  •  SPD tasking (primary): calendar management, client meeting scheduling, correspondence drafting
  •  Business Ops Mgr tasking (primary): financial scheduling, PO coordination, vendor document tracking, billing prep
  •  Field Logistics tasking (secondary): travel bookings, vendor records, PO submissions
  •  OPM tasking (secondary): timecard processing, credentialing, badging, and onboarding logistics
  • Maintain accurate electronic project files, records, and documentation.
  • Prepare reports, spreadsheets, presentations, and project status updates.
  • Support project tracking, document management, and reporting processes.
  • Assist with data entry and maintenance within company project management and ERP systems.
  • Support continuous improvement initiatives related to project administration and documentation management.
  • Perform other duties as assigned in support of Engineering and Field/Site operations.

Required Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Ability to work independently while supporting multiple stakeholders and departments.
  • Proficiency with Microsoft Office applications, including:

Microsoft Outlook

Microsoft Word

Microsoft Excel

Microsoft Teams

Preferred Qualifications

  • Experience using Smartsheet for project tracking, reporting, and coordination.
  • Experience using NetSuite, Vista, or similar ERP/project accounting systems.
  • Experience supporting project invoicing workflows, project tracking, and document management.
  • Previous experience within the telecommunications, utility, engineering, Field/Site, or infrastructure industries.
  • Experience coordinating permits, customer deliverables, and project documentation.
  • Familiarity with right-of-way, municipal permitting, and utility coordination processes.
  • Previous experience supporting project coordination, permit coordination, Field/Site administration, or project administration functions.
  • Prior experience supporting OSP engineering, telecommunications Field/Site, FTTH, utility, or infrastructure projects preferred.

Reporting Structure

This position will support both the Engineering and Field/Site organizations and will work closely with Project Managers, Field/Site Managers, Engineers, Permit Coordinators, and Operations Leadership

Education And Experience

  • Previous experience in the telecommunications industry.
  • Ability to read and write in English.
  • Associate degree, Real Estate License, or Equivalent Work Experience.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
