Job Overview:
We are seeking an organized, professional, and friendly bilingual Dealership Office Secretary to join our team. The ideal candidate will be the first point of contact for customers and will provide essential administrative support to ensure smooth operations within the dealership. This role requires excellent communication skills in both English and Spanish, multitasking abilities, and a keen attention to detail to manage customer interactions, office tasks, and title work efficiently.
Key Responsibilities:
Customer Greeting & Assistance:
Greet customers as they enter the dealership with a warm and professional demeanor.
Direct customers to the appropriate departments or sales staff.
Provide general information about the dealership, services, and promotions.
Phone & Email Management:
Answer incoming phone calls, addressing inquiries or forwarding calls to the appropriate department.
Respond to customer emails in a timely and professional manner.
Schedule appointments for service, test drives, or other dealership services.
Title Work & Documentation:
Prepare and process title work and necessary documentation for vehicle purchases and sales.
Ensure accurate and timely submission of paperwork to the DMV or relevant authorities.
Maintain a well-organized filing system for customer records and dealership paperwork.
Administrative Support:
Assist with general office tasks such as filing, scanning, and data entry.
Manage incoming and outgoing mail and packages.
Help coordinate office supplies and inventory management.
Assist with dealership events, promotions, or special projects as needed.
Other Duties as Assigned:
Perform additional administrative duties or customer support as needed by the office manager or dealership manager.
Qualifications:
Previous experience in an office or administrative role, preferably in an automotive or dealership environment.
Strong communication skills, both verbal and written, in English and Spanish (Spanish fluency is a must).
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to multitask, prioritize, and stay organized in a fast-paced environment.
Friendly, approachable, and professional demeanor with excellent customer service skills.
Knowledge of title work, vehicle registration, and DMV processes is a plus.
Basic knowledge of office equipment (phones, fax machines, scanners, etc.).
Job Type: Full-time
Pay: $20.00 – $25.00 per hour
Expected hours: 40 per week
