This role supports on-site presence (minimum days/week) and days in head office, ensuring operational oversight, tenant relations, and reporting requirements are met.
The position combines administrative responsibilities with active site engagement, including unit inspections, contractor coordination, and rental operations. This role is critical to maintaining service standards and supporting client retention.

In this role, you will play a key part in supporting our expanding residential operations. You will manage the administrative functions that keep our properties running efficiently, while contributing to a team that is focused on consistency, service, and operational excellence.
Maintain a consistent on-site presence (minimum days/week) to support rental operations and tenant/owner needs
Conduct unit inspections during move-outs and turnovers; document condition and coordinate next steps
Coordinate and follow up with contractors to ensure timely completion of repairs, maintenance, and turnovers
Monitor unit readiness and vacancy timelines to support rental efficiency
Support rent collection processes, follow-ups, and tracking of outstanding balances
Act as a primary point of contact for tenants and owners, ensuring timely and professional communication
Maintain accurate and up-to-date records (tenant files, inspections, communications, contractor updates)
Prepare and provide weekly operational reports to management/Board as required
Prepare monthly summary reports for the Property Manager prior to month-end
Conduct regular site walkthroughs (“rounds”) to identify issues proactively
Oversee day-to-day administrative operations for assigned residential properties
Manage leasing documentation, including new leases, renewals, amendments, and terminations, ensuring compliance with policies and legislation
Coordinate tenant move-ins and move-outs in Yardi with accurate data entry and workflow updates
Partner with Client Accounting and Property Managers to support month-end processes and maintain complete, accurate records
Respond to resident inquiries with timely, professional service across phone, email, and in-person interactions
Complete administrative tasks including filing, document management, supply coordination, and maintenance requests
Provide support across residential and commercial portfolios, with occasional assistance to condo teams (AGMs, budgets, and meeting documentation)
Apply knowledge of property management practices, policies, and compliance requirements
Participate in ongoing training and development to stay current with industry standards
Contribute to continuous improvement by identifying efficiencies and suggesting practical enhancements
Diploma or degree in Business Administration, Property Management, or a related field
– years of experience in residential/commercial property administration, ideally within mixed-use portfolios
Experience in a client-focused, third-party management environment
At least year in a senior or lead administrative capacity
Proven ability to work independently while collaborating across departments
Experience supporting team performance and coordinating workflows across different stakeholders
Proficiency in Yardi and Microsoft Office (Outlook, Word, Excel)
Strong organizational and time management skills
Clear, professional communication with a customer-focused approach
Proactive and accountable (takes ownership of site issues)
Ability to prioritize and manage competing demands
Detail-oriented with strong documentation discipline
Knowledge of the Residential Tenancies Act and property management best practices
Professional designations (, RCM, ARM, CPM) are considered an asset
