Position Summary:
The Executive Assistant assists with ensuring the successful operation of their assigned departments by keeping things running smoothly and efficiently through the cohesive management of multi-tasking and competing priorities. The Executive Assistant directly supports one or more members of the Executive Leadership Team, as well as the departmental employees. The Executive Assistant demonstrates initiative with respect to problem solving, presents confidence in decision-making, and has the ability to improve processes. The Executive Assistant will interact with several virtual-first teams and must demonstrate the ability to collaborate effectively throughout the organization.
In addition to executive and departmental support, the Executive Assistant will collaborate with a centralized administrative team to ensure the successful operations of Somos initiatives, and as such will include general office support responsibilities.
This position will be mostly virtual based, located within commuting distance to a Somos Hub, with occasional travel (approximately bi-weekly) required.
Core Responsibilities and Accountabilities
Talent Acquisition & Onboarding Support (75%)
In partnership with the Director, Talent Acquisition, coordinates and executes talent administrative activities including positing internal/external job positions, conducting initial candidate validation check, scheduling HR screen for recruiter, scheduling internal/external interviews, initiating assessments and background checks, conducting references, creates offer letters, and other administrative activities related to talent acquisition.
Provides sourcing support, including conducting database reviews and passive candidate searches for eligible candidates
Provides administrative support to the Internship Program, including recruitment/selection, onboarding, and events/activities related to the program
Executes administrative onboarding activities for new employees including pre/post hire deliverables
In collaboration with the hiring manager, creates and delivers new hire onboarding schedule
Maintains accurate personnel files to ensure compliant employee records
Responsible for new employee I-9 process, including coordination and follow up
Creates, maintains, and optimizes standardized processes and procedures within scope of role
Supports and executes recruiting/talent related social media campaigns
Provides administrative support at targeted job fairs and recruiting events
General HR Administrative Activities (25%)
Schedule and organize administrative activities including meetings, travel, conferences and department events.
Provide administrative support to company events, both virtual and in-person
Arrange and coordinate corporate travel, meetings, and events for Chief People Officer
Prepare and submit expense reports for Chief People Officer
Manage and maintain HR related filing systems
Prepare correspondence, reports, emails, spreadsheets, presentations and other documents.
Prepare, order, and distribute departmental materials
Attend meetings to record minutes, transcribe and distribute, as requested.
Conduct general administrative responsibilities including office maintenance in the local Hub location (mail distribution, office supplies, etc).
Collaborate with Executive Assistant team on assigned projects and initiatives
Perform other duties as assigned.
Working Conditions
Remote “Work Together Anywhere” position with home office environment using standard office equipment
Primarily a non-travel role but will be required to be within commuting distance of a Somos Hub and may be requested to travel for meetings, company annual Summit, and other industry events
Minimum Qualifications & Skills
Approximately 4 years of related experience in an administrative function
Experience with supporting executive level team members
Experience managing/utilizing databases, reporting and organization systems
Advanced proficiency in Microsoft suite (Word, Excel, Powerpoint, Outlook)
Working knowledge of Mac book and Mac operating systems
Excellent oral and written communication skills
Ability to collaborate and organize both in-person and remote teams
Detail oriented and comfortable working in a fast-paced environment
High level of professionalism and understanding of confidentiality
Excellent organizational skills and ability to complete tasks independently, and in a timely manner
Keen attention to detail with the ability to prioritize quickly in a fast-paced environment.
Preferred Qualifications & Skills
Experience in Talent Acquisition or Recruiting Administrative roles preferred
Degree preferred
