Position Overview
This is a highly visible role, providing direct support to the President and CEO and engaging with business leaders, local officials, and key stakeholders. The Executive Assistant (EA) to the President and CEO plays a pivotal role in the Effingham County Chamber of Commerce’s operational success. This position requires a highly organized, strategic, and adaptable professional who excels in high-level administrative support, board governance, communications, stakeholder engagement, and marketing functions.
The EA must be a proactive problem solver with exceptional multitasking skills, capable of managing complex scheduling, correspondence, event logistics, membership engagement, and special projects. Additionally, this role supports the Chamber’s marketing and communications efforts, including social media management, copywriting, and content development.
The ideal candidate thrives in a fast-paced, high-expectation environment, maintains impeccable professional decorum, and understands the unique nature of association and nonprofit management, specifically Chamber operations.
The EA must exercise the highest level of discretion and confidentiality, particularly when handling financial records, member data, and executive communications.
Key Responsibilities
Executive Support & Operations Management
Strategically manage the President and CEO’s calendar to ensure seamless scheduling of meetings, events, and commitments.
Serve as the primary point of contact for the President and CEO, managing and prioritizing communications (email, calls, correspondence).
Draft, proofread, and edit executive-level, committee, and member-oriented communications, reports, presentations, and meeting minutes.
Prepare and organize meeting materials to ensure accuracy and relevance.
Liaise with government officials, business leaders, and key stakeholders on behalf of the President and CEO as appropriate and directed.
Board & Governance Support
Provide administrative support for the Chamber’s Board of Directors, ensuring timely distribution of agendas, minutes, reports, and governance documents while maintaining limited direct interaction.
Assist in coordinating board meetings, retreats, and succession planning efforts.
Maintain governance records and ensure compliance with bylaws, policies, and reporting requirements.
Provide logistical support for board-related events, including retreats and workshops.
Marketing, Social Media, & Communications
Assist in managing the Chamber’s social media presence by creating and scheduling posts across various platforms, including Facebook, LinkedIn, and Instagram
Write and edit compelling copy for newsletters, website updates, press releases, and marketing materials.
Support event promotion and branding efforts to ensure consistent messaging and a professional presentation.
Monitor social media engagement, responding to comments, inquiries, and member interactions as needed. Assist in content creation, including basic graphic design using Canva or similar tools.
Maintain an organized library of marketing materials, photos, and promotional assets.
Event & Program Coordination
Provide administrative and logistical support for Chamber events, programs, and special initiatives.
Assist with VIP and special guest engagement, ensuring smooth coordination for key events.
Track sponsorship deliverables to ensure partners receive full value from their agreements.
Support event communications, including email campaigns, registration management, and post-event reporting.
Membership & Stakeholder Engagement
Support high-touch engagement efforts for members, sponsors, and stakeholders.
Assist with membership retention and growth strategies by maintaining accurate member records, and engagement and survey data.
Draft and distribute official Chamber communications, including announcements, policy updates, and stakeholder reports under the direction of the President and CEO.
Project & Initiative Management
Drive special projects and strategic initiatives on behalf of the President and CEO.
Conduct research and analysis on economic development, policy, and community issues affecting the Chamber.
Support operational efficiency improvements by helping implement best practices in association management.
Office Administration & Financial Coordination
Manage office operations to ensure a well-organized and professional work environment.
Process expense reports, invoices, and budget tracking in collaboration with the finance team.
Maintain strict confidentiality in managing financial data, contracts, personnel matters, and sensitive Chamber communications.
Desired Qualifications:
Minimum of 3 years of executive administrative experience, preferably within a Chamber of Commerce, association, or nonprofit environment.
Exceptional written and verbal communication skills, with a strong ability to craft clear and compelling content.
Experience in social media management and digital marketing, including content creation and audience engagement.
Strong organizational and time management skills, with the ability to effectively manage multiple priorities simultaneously.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, QuickBooks Online, and CRM systems.
Experience with event coordination, project management, and stakeholder engagement.
Ability to work independently, exercise sound judgment, and solve problems effectively in a fast-paced environment.
Willingness to work occasional early mornings, evenings, and weekends for Chamber events and meetings.
Preferred Qualifications:
Experience in association management, Chamber of Commerce, or nonprofit governance support.
Understanding of economic development, public policy, and business advocacy.
Familiarity with board governance best practices, Robert’s Rules of Order, and parliamentary procedures.
Experience managing event logistics, sponsorship fulfillment, and membership engagement initiatives.
Technical Proficiency
Stay informed about evolving technologies, including AI, automation, and digital tools relevant to association management and business operations, with a focus on enhancing efficiency and collaboration.
CRM/AMS Systems: Chamber Master, Salesforce, or similar
Social Media Platforms: Facebook, LinkedIn, Instagram
Marketing & Design: Canva, Constant Contact, MailChimp, Survey Monkey
Accounting & Financial Software: QuickBooks or similar accounting software for invoice processing, expense tracking, and financial reporting.
Performance Metrics & Success Indicators
Calendar Efficiency: Ability to manage the President and CEO’s schedule with minimal conflicts and high responsiveness.
Content & Social Media Engagement: Growth in engagement, reach, and responsiveness across social platforms.
Board & Governance Compliance: Timely and accurate meeting documentation, governance updates, and policy adherence.
Event Coordination Excellence: Seamless logistics execution, sponsor deliverables, and attendee satisfaction.
Membership Support Impact: Measurable contributions to retention, engagement, and outreach efforts.
Operational Improvements: Demonstrated efficiency gains in administrative, financial, or project management functions.
