Job Summary

We are looking for an experienced Real Estate Admin Specialist to support our property sales team with contract administration, property listings, and general real estate operations. The role focuses on managing off-the-plan and house-and-land contracts from exchange through settlement, coordinating with clients and stakeholders, and ensuring accurate documentation and smooth transaction processes. The ideal candidate has at least three years of real estate administration experience, exceptional attention to detail, strong communication skills, and thrives in a fully remote environment.

Key Responsibilities

Primary – Contract Administration

  • Manage contract administration for off-the-plan and house and land transactions
  • Prepare, track, and process contracts from exchange through to settlement
  • Liaise with vendors, buyers, solicitors, and agents to manage documentation and timelines
  • Ensure Monday operations are fully covered, removing the current weekly gap in admin
  • coverage

Secondary – Listings & Communications

  • Upload and manage property listings across REA and other relevant platforms
  • Handle builder and client email communications, follow-ups, and scheduling queries
  • Support Vicky and the broader team with general real estate administration tasks
  • Operate and learn internal platforms including REA Forms and the Unify Property Platform

Qualifications

  • Minimum of 3 years' experience in real estate administration.
  • Proven experience in contract administration; off-the-plan experience is highly preferred.
  • Proficiency in Rex CRM is essential.
  • Strong attention to detail with excellent organizational skills.
  • Excellent written and verbal English communication skills.
  • Proficient in Microsoft Outlook and Excel; experience with REA Forms and Unify Property Platform is an advantage.
  • Self-motivated with the ability to work independently in a fully remote environment.
