Job brief

We are looking for a competent Administrative Clerk to perform various administrative and clerical tasks to support our offices. You will undertake a variety of activities in the office ranging from filing and answering the phone to basic estate planning drafting.

An effective office clerk has the ability to work diligently to help maintain smooth office operations. You must be reliable and hardworking with great communication skills. The ideal candidate will also be familiar with office equipment and procedures.

Key Factors:

Previous experience in a office administrative role (ie. Call center, medical billing, office admin., etc.)
Excellent organizational, time management and communication skills
Ability to use word processing applications and document management software with a minimum typing speed of 60 wpm
Attention to detail

Responsibilities:

Maintain files and records so they remain updated and easily accessible
Answer the phone to take messages or redirect calls to appropriate colleagues
Utilize office appliances such as photocopier, printers etc. and computers for word processing, spreadsheet creation etc.
Take minutes of meetings and dictations
Assist in office management and organization procedures
Monitor stocks of office supplies (paper clips, stationery etc.) and report when there are shortages
Assist in making travel arrangements and booking venues for conferences and events
Use Firm software and systems as intended such as WealthCounsel, Asana, Pipedrive, Slack, AirCall.
Draft, review, and edit correspondence and legal documents, including but not limited to, Estate Plan & Business documents, Fiduciary Letters, Deeds, Plan Diagrams, and Funding documents.
Address client questions and concerns.
Maintain a high level of confidentiality at all times.
Make outbound calls to prospects at a high conversion rate
Participate in community engagement by attending events with our firm’s attorneys
Perform other office duties as assigned

Requirements and skills

Proven experience as office clerk or other clerical position
Working knowledge of office devices and processes
60 WPM (typing)
Very good knowledge of MS Office
Excellent communication skills
Very good organizational and multi-tasking abilities
High school diploma required, Bachelor’s Degree preferred
Attention to detail and accuracy
Good customer service skills and ability to work well with others
Willingness to accept and apply feedback.
Collaborative problem solver
Enthusiastic and motivated disposition
Detail-oriented with the ability to work in a fast-paced environment.
Eagerness to learn our best of Las Vegas practices and execute them at a high level.
