Full Job Description
We are looking for a Receptionist/Office Admin Assistant who is looking to grow long-term with the company and help us exceed the expectations of the clients we serve.
The Office Administrator/Admin Assistant will support the brokerage and be responsible for a broad range of administrative and coordinator duties. This position will require strong attention to detail, initiative, working well under pressure with limited supervision, independent decision making, and excellent customer service skills. The professional in this position must be a team player and have excellent organizational and multi-tasking skills in order to maintain firm cohesion on a day-to-day basis.
How you will assist:
Must have 1+ years of office admin experience or the willingness to learn quickly
You will be responsible for organizing the day-to-day activities of the manager
Run errands
In charge of maintaining the calendar updating it daily or otherwise as needed
You will assist in administering firm policy and overseeing adherence to firm practices and procedures.
Handle compliance tasks via software
Perform human resource functions and maintain staff and agent records and files
Make sure all agent requirements are met for Commission Disbursement
Answer, screen & route telephone calls, and use appropriate telephone etiquette
Respond to all customer inquiries in a courteous and professional manner within 24 hours of receiving the call
Check the MLS for property availability and schedule and map out showing appointments
Checking emails and voicemails regularly
Prepare buyer and seller closing packages
Ensure buyers and sellers are on schedule with their various duties
Send buyer brokerage and listing agreement
Maintain timely communication with customers and clients
Monitor and Manage virtual staff, agents, and broker
Ensure all active and inactive customer and client documents and files up to date and filed properly
Coordinate closely with Transaction Coordinator once under contract
Maintain KV Core and Database Management
Attend daily meetings with Broker to discuss daily activities and tasks
Attend weekly agent meetings
Perform general office manager duties including ordering office materials and supplies
Job Type: Full-time
Salary: $7.25 to $13.00/hour
There’s potential for bonuses. This will be discussed once you’re hired

Schedule:
Monday to Friday
Some weekends
Day shift – 9am-6pm
2 – 10 min breaks and 1 hour lunch

Pay: $15,000.00 – $20,000.00 per year
