Position Overview
The Administrative Assistant provides essential support to the Director of Administrative Services, playing critical role in ensuring the smooth and efficient operation of the office. This position requires an individual who is organized, detail-oriented, and capable of multitasking in a fast-paced environment. The ideal candidate will be committed to the values and vision of Talbot Health Services and will contribute to the overall success of the team.
Key Responsibilities

Business Office Operations: Perform day-to-day administrative functions, including answering phone calls and greeting the public.

Client Scheduling & Coordination: Manage appointments for assessments, admissions, and medical appointments. Ensure new clients complete the admission packet.

Billing & Documentation: Collect and process billing lists, manage client records, and distribute mail.

Records Management: Input client data into electronic systems and file miscellaneous forms. Assist with prior authorization as needed.

Inventory Management: Order and maintain office supplies, ensuring inventory is up to date.

Communication: Fax or email necessary documents to courts or agencies, as appropriate.

Required Qualifications

Education: High school diploma, GED, or equivalent. Two years of applicable experience OR a Bachelor’s degree in a relevant field.

Experience: At least two years of relevant work experience is preferred, particularly in an office setting.

Certifications: CPR/First Aid/AED Training (Preferred), Crisis Prevention/De-escalation Training (Preferred).

Essential Skills and Competencies

Proficient in MS Office software (Word, Excel, Publisher, PowerPoint).

Strong organizational, communication, and problem-solving skills.

Ability to manage multiple tasks effectively and efficiently.

Excellent interpersonal skills with the ability to interact professionally with clients and team members.

Ability to maintain confidentiality and exercise discretion in a professional environment.

Must be able to work in a fast-paced environment and adapt quickly to changing priorities.

Physical Requirements

Ability to lift up to 15 pounds.

Ability to perform duties in facilities or buildings with multiple levels and no elevator access.

Prolonged periods of sitting at a desk and working on a computer.

Effective operation of a computer and keyboard.

Working Conditions

Environment: Smoke-free and drug-free workplace.

Schedule: Hourly position with a schedule set to meet job requirements.
