ABOUT OUR ROLE
Are you a proactive organizer with a knack for keeping things on track? We’re looking for an Administrative & Project Support Specialist to join our team! In this role, you’ll be the go-to person for managing calendars, coordinating projects, and ensuring that communication flows smoothly. Your ability to juggle multiple tasks with a sense of urgency and attention to detail will be key to supporting our team’s success.

Main focuses and responsibilities;
Manage and organize company email inbox, ensuring timely responses and follow-ups.
Schedule meetings and manage calendars efficiently.
Draft, proofread, and format documents and correspondence.
Book travel arrangements and prepare detailed itineraries.
Assist in planning and executing various business projects.
Track project timelines, milestones, and deliverables.
Prepare project status reports and updates for stakeholders.
Monitor and manage project-related spending.
Create and distribute meeting agendas in advance.
Record and share meeting minutes with key action items.
Follow up to ensure completion of next steps and deliverables.
Coordinate logistics for in-person meetings as needed.

WHAT YOU’LL NEED TO SUCCEED

1-2 years of experience in an administrative, executive assistant, or project support role.
A natural strong sense of urgency.
Strong organizational and time management skills.
Excellent written and verbal communication abilities.
Proficiency in email and calendar management tools (e.g., Google Workspace, Outlook).
Experience with project management and tracking tools is a plus.
Ability to handle confidential and sensitive information with discretion.
Self-motivated and able to work independently in a fast-paced, remote environment.
