This is a temporary position that provides administrative support across various HR functions, including talent acquisition, benefits, employee relations, compensation, HRIS and HR operations. Duties include answering calls, processing employment verifications, maintaining files and records, assisting with applications, and other clerical duties. The role may also support pre-employment screening and respond to routine HR inquiries. Professionalism, discretion, and strong customer service skills are essential.
Knowledge, Skills and Abilities
Human resource practices and procedures, with emphasis on employment processing and onboarding.
Office administration practices, including mail distribution, document handling, and recordkeeping.
Confidentiality standards and the proper handling of sensitive employee information.
Familiarity with HRIS platforms (such as Banner, PeopleAdmin or ADP) and their role in managing employee data.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace tools.
High attention to detail for maintaining accurate records and ensuring compliance with HR procedures.
Effective communication skills, both written and verbal, for interacting with employees, managers, and vendors.
Required Qualifications
High School Diploma or equivalent.
Minimum of 0-2 years of experience of general office or administrative support experience, preferably in a human resources or related field.
Preferred Qualifications
Professional HR certification (e.g., SHRM-CP, PHR) is a plus.

Essential Job Duties

Key Responsibilities
Front Desk and Communication Support: Answer incoming calls promptly and courteously; provide routine and factual information or direct inquiries to the appropriate Human Resources staff member. Respond to standard questions and ensure accurate message-taking and timely delivery.

Administrative HR Support: Assist with pre-employment and new hire processing, including I-9 verification and the E-Verify process. Maintain updated orientation packets and materials. Prepare and format correspondence, reports, and forms for HR management. Provide general administrative and clerical support to HR programs and initiatives. Assist with coordinating employee events such as orientations, training seminars, and department meetings. Perform routine filing and maintain an organized archival system for HR records. Support various HR projects, programs, and meetings as assigned.

Key Responsibilities
Employee Verification and Record Handling Support: Support and serve as a backup in processing and responding to employment verification requests in accordance with established service standards (typically within 24–48 hours). Ensure all responses are accurate, timely, and handled with appropriate confidentiality.

Key Responsibilities
Mailroom and Supplies: Distribute incoming mail to designated HR staff while maintaining strict confidentiality. Assist with outgoing mail and internal mailings. Support ordering, storing, and distributing office supplies, and maintaining an organized mailroom. Provide general information on departmental policies and procedures using standard resources; refer more complex inquiries to the appropriate HR division.
