OBJECTIVES OF THE PROGRAMME
The Administrative Services Unit (ASU) provides collaborative, client-focused, quality and results-oriented administrative services to all staff primarily in the Regional Office (RO), but also in the eleven Country Offices within the South-East Asia Region. The aim is to provide efficient and reliable delivery of a comprehensive services in the area of security, building and office services, records and archives, travel and transportation, conference and logistics to staff in order to enable them to carry out their mandate at ease.
Description Of DutiesUnder the direct supervision of Programme Operations Officer and overall guidance of the Administrative Services Officer, the incumbent will:1. Receive and screen visitors, directing them to the intended offices/units ensuring that the requisite security procedures are followed 2. Ensure that entry and exit of timings are recorded by outside visitors, keep a watch on the movement of any unauthorized person(s).3. Operate the telephone switchboard, provide routine information, connect the incoming calls to appropriate persons; assist in placing official STD/ISD/local calls on request; and maintains corresponding records for accounting purpose.4. Make note of changes and inform relevant staff responsible for updating SEAR and UN Telephone Directories.5. Leave appropriate instructions for security in-charges after regular office hours and brief them of any important urgent matter of concern.6. Receive, and channels incoming/outgoing deliveries and other material to the corresponding receiving units.7. Maintain file/record of items, such as furniture, equipment, etc taken in and out of SEARO premises against signed authorization (Gate Passes) and verity this information by physically inspecting their movement in coordination with security staff.8. Manage public information system. 9. Ensure reception area is well maintained in coordination with Building Management staff10. Assist in contacting staff during emergencies.11. Assist staff out of the building during emergency evacuations. 12. Any other jobs assigned by the supervisors.
Required QualificationsEducation
Essential: Completion of secondary education
Desirable: –> Knowledge/training in use of Audio/ Sound system operations.–> Knowledge/training in use of fire detection and suppression systems.
ExperienceEssential: One to two years’ experience as Receptionist-cum-telephone operator.
Desirable: Working experience in international organization is an asset
Skills
> Good communication skills including voice modulation.–> Familiarity with the operation of electronic automatic switchboard–> Awareness of security measures in an international organization.–> Ability to remain patient, courteous, tactful and discreet in dealing with and/or screening visitors and phone calls, alert at all times for potential intrusions into the building.–> Computer knowledge for routine administrative work–> Ability to identify and remember faces and names and deal with people from different cultures
