Seeking an experienced and highly organized Executive Assistant to provide administrative and operational support to the Chief Executive Officer (CEO) in day-to-day matters involving personal and business priorities.

The Executive Assistant ensures the CEO succeeds in driving the business’s vision forward and achieving its goals and objectives.

The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to handle multiple tasks simultaneously. As the Executive Assistant, you will be responsible for managing the CEO’s calendar, coordinating meetings and travel arrangements, overseeing taks, and handling confidential information with discretion.

“`Responsibilities“`

– Support all aspects of the CEO’s daily personal and business routine.

– Maintain the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, and travel – exercising discretion in committing time and evaluating needs.

– Acts as liaison on behalf of CEO with personal and business staff, and the public.

– Screen the CEO’s emails and phone calls, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.

– Coordinate work with other staff as needed.

– Provide coordination, monitoring, and communication of strategic initiatives and executive-level projects and programs.

– Assist the CEO in the development of presentations and white papers for internal and external audiences.

– Determine priority of matters of attention for the CEO; redirect matters to staff to handle, or handle matters personally, as appropriate.

– Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.

– Routinely perform a wide variety of support duties.

– Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.

– Pickup, sort and triage direct mail and electronic mail; maintain e-mail and other address directories.

– Compose and prepare letters relating to routine correspondence for the CEO’s signature.

– Schedule organization-wide and departmental meetings; assist in the preparation and distribution of meeting agendas and materials.

– Transcribe source material, prepare documents, reports, tables, and charts; distribute as appropriate.

– Maintain paper and electronic filing systems.

– Complete a variety of special projects, including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.

– Draft, review, and send communications on behalf of CEO.

– Organize, coordinate, and prepare for meetings, including gathering documents, preparing agendas, taking minutes, and attending to other logistics of meetings.

– Draft, proofread, and edit documents, emails, presentations, and reports to ensure accuracy and clarity.

– Conduct research on various topics and provide insightful analysis to support decision-making processes.

– Attend in person meetings, events, and the like.

– Coordinate travel arrangements, itinerary planning, tour arrangements, booking airfare, car rentals, hotel accommodations, and the like.

– Coordinate meal reservations with clients, employees, business associates, friends, family members, and the like.

– Coordinate events with clients, employees, business associates, friends, family members, and the like.

– Coordinate personal, business, and educational events, including venue arrangements, food selection, and activity planning.

– Monitor and alert against important dates and activities requiring attention/action.

– Review and validate purchases on credit card statements and invoices, preventing erroneous charges.

– Facilitate operational planning and tactical implementation execution for personal and business initiatives.

– Ensure communications meet established standards of appearance and content and that all logistical requirements are satisfied.

– Participate in ongoing development and enhancements of policies, procedures, processes, structures, and tools.

– Develop, track, and hold other employees accountable to initiative priorities, development timelines, deliverables, and milestones.

– Maintain and update the Employee Handbook.

– Process contracts for review and approval, and provide follow-up to ensure completeness, accuracy, compliance, signatures, and timely submittal in conjunction with internal management, accounting, and legal staff.

– Develop administrative procedures and ongoing monitoring necessary to manage the contract database.

– Drive the CEO to/from events when appropriate.

– Pick up and drop off clothes for drycleaning, vehicles for maintenance/fuel, food, and the like.

– Coordinate and oversee home improvement projects and the like.

– Perform personal shopping for the CEO, procuring items of personal and business nature.

– Track and manage appointments such as health treatments, vehicle maintenance, classes, etc.

– Compile data, analysis, and reporting in a timely manner as directed by CEO.

– Other additional and/or alternative duties as assigned from time to time.

“`Qualifications“`

– Bachelor’s degree preferred.

– Five years prior experience in role supporting an executive.

– Proficient in Microsoft Office (Outlook, Teams, Word, PowerPoint, Excel, etc.) and other related software tools.

– Exceptional dictation, note taking, writing, editing, grammar, and proofreading skills.

– Excellent organization and time-management skills.

– Excellent written and verbal communication skills.

– Attention to detail is a must.

– Ability to multitask is a must.

– Strong communication and interpersonal abilities.

– Discretion and confidentiality in handling sensitive information.

– Flexibility with working hours to accommodate personal and organizational demands.

– Detail-oriented self-starter.

– Prior experience in the consulting services industry and/or technology industry preferred.

– Ability to apply common sense and exhibit sound judgment, with the ability to prioritize and make decisions efficiently and effectively.

– Energetic and eager to tackle new projects and ideas.

– Comfortable interacting with high-level executives.

– A team player capable of cultivating productive working relationships across individuals and firms.

Job Type: Part-time

Pay: $35,000.00 – $45,000.00 per year

Expected hours: 20 per week
