Role Summary
The Executive Assistant provides dedicated, high-level administrative and operational support to our Chief Executive Officer (CEO). This role is crucial for maximizing the CEO’s effectiveness by anticipating needs, proactively managing administrative challenges, and serving as a key liaison both internally and externally. You will exercise independent judgment, maintain the highest level of confidentiality, and ensure the CEO’s priorities are met, contributing directly to achieving Company goals.
Responsibilities
Manage the CEO’s demanding calendar, requiring interaction with internal and external executives, clients, investors, and assistants via Microsoft Outlook.
Create, maintain, and organize CEO contacts in Outlook and our CRM.
Act as a primary point of contact and liaison between the CEO and other departments (property management, accounting, legal, HR, etc.), ensuring smooth communication flow.
Prepare, send, and track DocuSign documents for execution by the CEO, clients, or other parties as directed.
Ensure meticulous organization and appropriate filing of the CEO’s email and documents.
Coordinate complex travel logistics for the CEO, including flights, accommodations, ground transportation, and meals.
Assist with meeting preparation for the CEO – gathering and organizing materials, ensuring proper printing/distribution, coordinating technology needs.
Coordinate the mailing of loan, closing, and other sensitive documents via FedEx or other couriers to banks, title companies, and stakeholders.
Organize and coordinate investor gift preparation; prepare and distribute Thank you/Birthday cards to investors, clients, and key contacts on behalf of the CEO.
Assist senior leadership with special event planning focused on investor appreciation and business development initiatives.
Maintain primary electronic files, with minimal physical filing needs, ensuring easy retrieval for the CEO.
Coordinate the creation, approval, tracking, and distribution of advertising or marketing materials requiring senior leadership’s input or approval.
Exercise administrative judgment; assume responsibility for decisions, consequences, and results impacting the CEO’s schedule, costs, and/or quality of service within the functional area.
Independently create well-organized, grammatically correct communications, invitations, and correspondence for internal and external distribution on behalf of the CEO.
Perform other administrative support duties as assigned to ensure the efficient operation of the CEO’s office.
Qualifications
Bachelor’s degree in business or equivalent relevant work experience.
2+ years’ work experience as an executive assistant supporting C-suite level executives (CEO, President, etc.) highly desired.
Exceptional attention to detail and accuracy.
Strong organizational, prioritization, and time management skills with the ability to manage multiple competing priorities.
Proven ability to be proactive, self-starting, and work effectively with minimal oversight.
Excellent interpersonal, oral, and written communication skills.
High proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). SharePoint and Teams knowledge highly preferred.
Demonstrated interpersonal skills and proficiency in business vocabulary to effectively represent the CEO and the Company to outside parties.
Proven ability to handle highly confidential information with discretion and maintain strict confidentiality.
