Job Description

Part time role – 15 hours per week with the option of working either 3 days at 5 hours per day or 5 days at 3 hours per day. Please note that this position is not remote; candidates must be available to work onsite. Work hours will be mutually agreed upon by both parties. The Administrative Assistant plays a crucial role in supporting our team, clients, and prospects by delivering outstanding customer service both internally and externally. The ideal candidate will excel in multitasking, possess excellent communication skills, and exhibit a positive attitude. Responsibilities include answering multiple phone lines, processing payments, scanning documents, drafting letters and reports, and other duties as directed by management.

Salary: $16.00 – $18.00 per hour

Responsibilities

Answer incoming phone calls professionally and provide accurate responses or direct them to the appropriate person or department.
Receive and process payments.
Efficiently scan documents and process according to established procedures.
Maintain strong relationships with customers to ensure high levels of client retention and product loyalty.
Assist in new business processing, including sending applications, scanning documents, and mailing out welcome materials.
Prepare mail and FedEx packages.
Assist with various administrative tasks such as managing incoming and outgoing mail and assisting with bookkeeping tasks.
Assist in managing late payment communication.
Perform office errands off-site as needed.
Perform additional tasks as assigned by management.

Requirements

High school diploma
1-3 years of office experience preferred.
Proficient in basic computer operations and software applications including Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint), email management, and other essential office programs.
Excellent oral and written communication skills.
Positive and enthusiastic attitude.
Ability to multitask, follow through, and follow up effectively.
Detail-oriented and organized.
Adaptable to a fast-paced environment.
