POSITION ANNOUNCEMENT
Hamilton County Community Corrections announces an opening for part-time support personnel. The position serves as a Data Entry Clerk for Community Corrections and is responsible for entering data into agency software programs, providing clerical assistance to agency personnel, and assisting the public.
This position performs various data entry and clerical functions as assigned or needed including recording class attendance, entering assessment results and testing results. It also assists other agency personnel as assigned or needed and periodically may perform duties of the Receptionist in his/her absence. These would include answering the telephone and managing the department lobby by greeting visitors, reviewing documents and/or asking questions to determine purpose of call/visit, responding to inquiries, providing information, directing to proper location or staff, taking messages, or directing/transferring to appropriate individual or department. Qualified candidates should demonstrate a strong working knowledge of basic secretarial skills with an ability to operate a wide variety of office equipment. The individual will need to possess strong computer skills with a working knowledge of word processing and spreadsheet software. Experience with Microsoft Word and Excel is preferred. Previous experience working in a fast-paced office setting is preferred. The position is scheduled to work 25 to 29 hours a week and compensation is $20.62 an hour.

DUTIES:

I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:

High school diploma or GED.

Working knowledge of standard office and terminology, and ability to apply such knowledge to a variety of interrelated tasks.

Ability to properly operate a variety of standard office equipment, including computer, printer, telephone, fax machine, and copier.

Ability to work on several tasks at the same time, and complete assignments effectively amidst frequent distractions and interruptions.

Working knowledge of standard English grammar, spelling and punctuation, and ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.

Ability to understand and follow written and oral instructions/directions, and appropriately respond to constructive criticism.

Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.

Ability to comply with all employer/department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to work with others in a team environment, and maintain appropriate, respectful interrelationships with co-workers.

Ability to provide public access to or maintain confidentiality of department information/records according to state requirements.

Ability to occasionally work extended hours.

II. RESPONSIBILITY:

Incumbent performs standard, recurring duties according to well-established department policies and procedures. Incumbent receives general supervision, with priorities determined primarily by supervisor and service needs of the public. Errors in incumbent’s work are usually prevented through prior instructions from supervisor and legally defined procedures, and are detected through supervisory review. Undetected errors may result in inconvenience to other departments, agencies or the public.

III. PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with co-workers, other County departments, attorneys and the public for the purpose of exchanging information.

Incumbent reports directly to Director of Administration.

IV. PHYSICAL EFFORT AND WORK ENVIRONMENT:

Incumbent performs duties in a standard office environment involving sitting for long periods, sitting and walking at will, hearing communication, speaking clearly, lifting/carrying objects weighing less than 25 pounds, handling/grasping/fingering objects, and occasionally bending, reaching and crouching/kneeling. Incumbent occasionally works extended hours.
