The Museum of Flight has an opening for a top-notch receptionist with administrative experience. This valued position is the first impression of our organization. Primary responsibilities include answering a multi-line phone system and greeting both internal stakeholders and external visitors. Summary

The Receptionist supports the mission of The Museum of Flight through a variety of customer focused tasks such as greet and direct visitors, answer and triage phone calls, and maintain the reception and related areas of the Museum’s Main Campus. It is paramount this person represents The Museum of Flight, its Values, Vision and Mission, with the highest level of professionalism and integrity.

Essential Duties & Responsibilities

Answer and triage incoming phone calls, voicemails, and emails.

Greet visitors, secure identification when necessary, and determine whom they wish to see.

Announce visitors and direct them to the proper area when authorized.

Coordinate incoming and outgoing mail and correspondence, including recording and distributing of mailed checks and invoices. Sort incoming mail and properly place directly in appropriate mailboxes.

Maintain internal schedules and calendars for meeting spaces including additions and updates when appropriate.

Book meeting spaces and make other arrangements related to client visits and meetings.

Communicate and coordinate with executive administrative staff regarding the needs and logistics of onsite functions with trustees, board members, and other relevant stakeholders.

Order and maintain PAR levels of supplies such as office, mailroom, meeting, breakroom, and related needs.

As a central point of contact, provide general support for all Museum stakeholders, internal and external.

Prepare and send out approved responses to auction requests from various organizations.

Actively work to be informed regarding current Museum activities, events, pricing, website, staffing, and organization information.

Perform various administrative support tasks that can be done while in the reception area.

Perform other duties as assigned.

Qualifications

Education & Experience

High School Diploma or equivalent.

A minimum of three (3) years’ experience in a customer service or receptionist role. Additional experience in answering a multi-line phone is preferred.

Knowledge

Basic knowledge of office reception functions, office equipment, and phone and reception etiquette.

Skills

Proven customer service skill with effective and efficient interpersonal and communication skills, both verbal and written.

Computer proficiency in Microsoft Office/365 including Outlook, Word, Teams, Excel, PowerPoint, SharePoint, and other meeting platforms, including Zoom.
