We are seeking a Retirement Plan Administrator which will be responsible for overseeing the administration of our retirement plans, ensuring compliance, operational excellence, and continuous improvement in plan design and execution.
Position Location
Full-time, ideally in the Eastern (EDT) or Central (CST) time zones
Position Duties & Responsibilities
The Retirement/401k Plan Administrator is a very “hands-on” position with responsibilities related to the following key areas:
Plan Oversight: Ensure the development, implementation, and optimization of the company’s retirement plan including positive approach involving strategy, ensuring alignment with organizational goals and employee needs.
Manage 401(k) Operations: Oversee and even perform “hands-on” end-to-end process for 401(k) enrollments, contribution rate changes, and the accuracy of payroll calculations for employee and employer contributions, including reconciliations, etc.
Medical Practice Relationship Development: Works with various medical practice group stakeholders to foster a positive relationship and ensure clear, concise responses. In addition, provide guidance, direction and mentorship to the practice retirement plan administration team.
Stakeholder Communication: Lead periodic 401(k) employee communication meetings, ensuring transparency and clarity regarding plan benefits and changes. Oversee and perform annual compliance testing and ensure adherence to regulatory deadlines and requirements, including Form 5500 preparation and filing.
Regulatory Compliance & Risk Management: Serve as the subject matter expert on regulatory compliance related to retirement plans, including DOL, IRS, and other relevant legal requirements to minimize legal and financial risks.
External Audit Coordination: Lead the coordination and management of the annual 401(k) external audit, including ensuring that all required data is provided, facilitating communication between external auditors and internal teams, and ensuring audit timelines are met.
Plan Design & Documentation: Oversee the preparation, review, and interpretation of plan documents to ensure they align with current organizational needs and regulatory standards
Cross-Department Collaboration: Partner with internal teams such as HR, finance, and legal to resolve plan-related issues, provide strategic input on benefit offerings, and drive continuous improvement in the plan’s execution.
Project Management: Manage complex special projects that require extensive problem-solving skills, ensuring timely and effective delivery while aligning with the overall business strategy. Must be organized with multiple competing priorities.
Employee Advocacy: Serve as a primary resource for plan participants, resolving complex issues related to the retirement plan, and ensuring high levels of employee satisfaction and engagement.
M&A Transactions: Experienced with retirement plan mergers and acquisition to remain compliant and provide solutions benefiting both organizations in a business transaction.
Candidate Requirements & Qualifications
Bachelor’s degree required
Proficiency in Microsoft Office, with advanced Excel skills for complex data analysis and reporting
Must be detailed and possess strong organizational skills – solutions oriented
Exceptional written and verbal communication skills, including the ability to create and deliver presentations at senior levels
