We are seeking a highly organized and detail oriented administrative assistant to keep our office running smoothly and efficiently. Key Responsibilities:

Answering phone calls and responding to customer inquiries.
Scheduling appointments and coordinating technician dispatch.
Managing and maintaining customer records and job details.
Assisting with invoicing, billing, and processing payments.
Handling email correspondence and filing important documents.
Track and maintain annual license renewals.
Maintain and file annual inspections.
Preparing bid documents.
Assist in tracking and reviewing employee daily sheets.
Supporting management with general administrative tasks as needed.

Qualifications:

High school diploma or equivalent; Associate’s degree or relevant certifications a plus.
Previous administrative experience, preferably in a service-based industry.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
Strong organizational and multitasking abilities.
Excellent communication and customer service skills.
Ability to work independently and as part of a team.

Skills:

AIA Billing and contract experience a plus
Experience with QuickBooks a plus

Pay: $50,000.00 – $60,000.00 per year
