Summary

Encore Technology Group is seeking a highly organized and proactive Administrative Assistant to support our Project Management and Purchasing teams. This role is ideal for someone who thrives in a dynamic environment, enjoys balancing multiple priorities, and plays a key part in ensuring the smooth execution of both technical projects and procurement operations.

Responsibilities

In addition to traditional administrative duties such as scheduling, document management, and internal coordination, the Administrative Assistant will take ownership of the following:

Travel & Accommodations:

Book hotels and coordinate travel arrangements for our Installations Team across multiple project sites.

Order & Shipment Processing:

Create, submit, and track Sales Orders. Monitor shipment statuses and communicate updates to relevant stakeholders.

Vendor & Manufacturer Coordination:
Process and monitor Return Merchandise Authorizations (RMAs).
Register hardware with manufacturers for warranty and support purposes.
Project Close-Out Support:

Assist with documentation and administrative tasks necessary for officially closing out completed projects.

Cross-Departmental Collaboration:

Communicate and collaborate with internal teams, vendors, and customers to ensure smooth operations and task completion.

General Administrative Support:

Handle clerical tasks such as file organization, meeting scheduling, note-taking, and other duties as assigned

Preferred Qualifications

Proven experience in an administrative or project coordination role.
Strong organizational skills with attention to detail.
Familiarity with order management, logistics tracking, or procurement workflows.
Proficient in Microsoft Office
Ability to communicate professionally with internal teams, customers, and vendors.
Comfortable working in a fast-paced, deadline-driven environment.

Bonus Skills

Experience with RMA processes or procurement systems (e.g., ConnectWise).
Exposure to project management tools or environments.
