General Summary:
The Receptionist/Administrative Assistant is responsible for running the day-to-day operations of the Front Desk at the Catholic Center. Responsibilities include assisting the Director of REPPD and the Associate Real Estate Manager with communication to parishes and project stakeholders, office operations, and logistics. This includes answering phones, greeting guests, managing mail/deliveries, and assisting with vendor services required for facility management.

Essential Duties and Responsibilities:

Facilitates incoming and outgoing telephone calls with visitors, vendors, and other key contacts for the Catholic Center, Varela Center, and Diocese of St. Augustine, requiring discretion and professionalism.

Administers the conference room schedule and AV requirements for all meetings/events at the Catholic Center.

Assists the Director of REPPD by answering phone calls, taking messages, updating the calendar, and providing administrative support.

Assists the Associate Real Estate Manager in communicating with vendors and following up on work orders.

Maintains the Facility Tree database, including data entry and updates.

Manages all mail/delivery services for the Catholic Center and Varela Center.

Coordinates client, vendor, and guest visits, supporting vendors/suppliers on-site.

Maintains email and phone lists for the Catholic Center and Father Felix Varela Center.

Assists with special projects and work assignments as prioritized by the supervisor.

Adheres to security policies and maintains a neat and professional work area.

Creates professional correspondence and materials, ensuring accuracy and good grammar.

Performs other duties as assigned.

Knowledge, Skills, And Abilities Required:

High school degree or GED and a minimum of three years of related experience.

Demonstrates patience, tact, and a positive attitude with colleagues and visitors.

Excellent communication and organizational skills, with the ability to prioritize in a fast-paced environment.

Ability to work independently and maintain confidentiality.

Ability to work respectfully in a team environment and maintain positive relationships.

Respect for and alignment with the mission and teachings of the Roman Catholic faith.

Proficiency in Microsoft Office Suite applications.

Must pass a criminal background check prior to employment.

Language Skills:
Ability to read, analyze, and interpret business periodicals and technical procedures. Ability to write reports and business correspondence.

Mathematical Skills:
Ability to perform basic mathematical operations and interpret graphs.

Reasoning Ability:
Ability to define problems, collect data, and draw valid conclusions.

Physical Demands:
Regularly required to stand, walk, and use hands. Must lift and/or move up to 25 pounds.

Working Conditions:
Moderate noise level; may require travel to diocesan locations.
